A day in the life at the Business Hub
On a typical day, you’ll be the first point of contact on the switchboard, guiding callers to the right people and passing along messages. You’ll also manage the flow of mail, handling prisoner correspondence daily to keep it secure and distributed to the appropriate recipients, while coordinating staff mail and any outgoing prisoner or staff post. Paperwork and records form a core part of the job. You’ll maintain orderly filing for your area and respond to queries by directing them to the right team. You’ll process Chaplaincy paperwork, including prisoner applications and arranging visits, and you’ll act as a communications hub within the establishment, prioritising and routing information to the correct contacts. The duties described reflect the post as it stands but aren’t meant to be exhaustive; you’ll be expected to take on reasonable changes and additional tasks as needed.

Advice for applicants
Lead with the admin backbone of the role when you craft your resume. Put front and center any experience running a switchboard, handling prisoner and staff mail, and maintaining secure filing systems. If you’ve got typing skills, note any formal qualifications or part-time roles where you performed copy typing or transcription.
When you describe your must-have capabilities, anchor them to concrete outcomes. For example, mention times you directed calls to the right teams, ensured mail was securely stored, and kept accurate records that could be retrieved quickly. If you have English-language experience or Welsh language skills, share how you used them in high-security or regulated settings to keep communications precise.
Prepare for interviews by outlining how you’ve worked with colleagues to deliver a high-quality service, how you’ve managed sensitive information, and how you’ve supported administrative tasks in a shared, secure environment. You’ll be assessed on Working Together and Managing a Quality Service, so have short examples ready that show collaboration and a commitment to accuracy and discretion. Strengths will be assessed, so be ready to discuss how your strengths align with this role.
Think of a thoughtful question to ask at the end of your interview. You could ask about how hybrid working is implemented in this establishment, what training paths are available to build your admin skills, or how the team prioritises mail processing alongside other administrative tasks.
