Role Description

The Admin Coordinator keeps the office running smoothly and supports daily operations across administration, procurement coordination, documentation, and basic finance support. You will be the go-to person for organization, follow-ups, and ensuring the team has what they need to operate efficiently.


What you need to carry out the mission

Responsibilities include and are not limited to the following:

  • Office admin: supplies, maintenance requests, vendor coordination, couriers, meeting readiness.

  • Documentation support: filing, archiving, job folders, delivery notes, basic trackers.

  • Procurement admin: request quotes, follow-ups, comparison sheets, PO coordination for approvals.

  • Finance admin support: invoice collection, statement follow-ups, filing, payment status tracking with finance.

  • HR/admin support: onboarding coordination, document collection, staff admin tasks.

  • Travel/logistics support as needed.

What We’re Looking For

  • 2–5 years in admin/office coordination in Dubai.

  • Strong organization and follow-through; good judgment and discretion.

  • Strong Excel + MS Office; comfortable managing trackers.

  • Fluent English

  • Regional experiences in agency/production/retail operations is a plus.
