Responsible for the coordination and implementation of office procedures; might have the responsibility for specific tasks.
• Coordinates and works with other departments, entities, clients and employees to prepare professional reports, memos, letters, presentations, invoices, and other documents as assigned.
• Assists and follows up on the progression of pending matters as directed.
• Develops, modifies and maintains any other data bases related to own departmental activities as assigned.
• Maintains the Department Chairs’ email distribution lists and directories.
• Maintains the calendar and schedules appointments.
• Coordinates travel arrangements.
• Assists with the planning, logistics and management of meetings and visits, and be responsible for taking and disseminating the minutes.
• Maintains professional filing system.
• Manages office equipment, including postage machine, printers, fax, photocopier, conference phone and projector and ensures that if they are in working condition.
Accountabilities
• Ensures all documents are in the appropriate format
• Ensures all office supplies are adequately maintained and the office is running smoothly with all necessary admin requirements
Experience :-
Required:
• 2 - 4 years of relevant experience
