Beedie is hiring an Administrative Assistant to provide on-site support to the Land Development and Development team in Burnaby. The role covers general admin duties, preparing meeting agendas and minutes, supporting project teams to meet deliverables, budgets and schedules, maintaining permit, RFI, submittal, and claim logs, handling contracts and letters of credit with consultants and municipalities, project reporting to senior management, and maintaining project files and emails. The ideal candidate has 1 to 2 years in development, construction, or administration, strong MS Office skills, and ideally project management or accounting software experience, along with exceptional communication, multitasking, and organization. Key Responsibilities
- Provide general administrative duties for the Development group
- Prepare meeting agendas, attend development meetings, record and distribute meeting minutes
- Assist Project Teams with administrative tasks as required to maintain project deliverables, budgets, and schedules i
- Maintain permit status logs, project RFI logs, project submittal logs, claim logs, project extra work summary
- Prepare contracts (printing, binding, couriering, etc.)
- Letter of credit system management including reductions and coordination with consultants/contractors/municipalities.
- Project Reporting to senior management and partners
- Maintain project directories and documentation. Archive completed projects and related files – digital and hard copy.
- Update and manage emails
- Other duties as required
Desired Skills and Experience
- A minimum of 1-2 years of relevant work experience in development, construction, or administration
- Proficiency in MS Office Suite; experience with project management software and accounting software is an asset.
- Exceptional written and oral communication skills
- The ability to handle a heavy workload, multitask and prioritize
- A strong work ethic, attention to detail, and excellent organizational skills
