Coach Sveta Rhythmic Gymnastics Club, a company associated with ShortPoint is looking for a highly organized, proactive, and professional Administrative & Personal Assistant to support the CEO of two leading children’s activity academies in Dubai: Coach Sveta Rhythmic Gymnastics Club and NeedToDance Studio.
This role is ideal for someone who thrives in a dynamic environment, enjoys working with families and children-focused businesses, and has strong experience handling HR, government processes, and event coordination in the UAE.
Administrative & Executive Support
Provide full administrative and personal assistance to the CEO.
Manage calendars, schedules, meetings, and travel arrangements.
Handle correspondence, documentation, and filing.
Assist with merchandise orders, uniforms, and vendor coordination.
Communication & Relationship Management
Professionally communicate with parents, vendors, coaches, and external partners.
Draft and respond to emails, announcements, and official correspondence.
Maintain positive relationships with families and suppliers.
Events & Bookings
Support the planning and coordination of competitions, recitals, and workshops.
Handle bookings for facilities and liaise with vendors/service providers for smooth event execution.
HR & Operations
Assist with recruitment, onboarding, and maintaining employee records.
Support HR compliance and daily operations.
Manage government-related tasks (visas, labor contracts, license renewals).
Liaise with UAE authorities (DED, MOHRE, GDRFA, Tasheel, etc.) to ensure timely processing.
Handle sensitive information with confidentiality and professionalism.
5+ years of experience as an Admin/Personal Assistant or in a similar role (UAE experience required).
Strong English communication skills (spoken and written).
Knowledge of UAE labor law, HR processes, and government procedures.
Hands-on experience liaising with government authorities for license renewals, visa applications, and related tasks.
Skilled in MS Office and modern communication tools (Slack, Teams, etc.).
Excellent organizational skills with the ability to multitask.
Discreet, reliable, and proactive with strong problem-solving ability.
Preferred: Background in sports academies, events, or family-focused services
Work Schedule
Monday to Saturday (Sunday off).
Flexibility required for occasional events, competitions, or urgent tasks.
