Job Description

Job Purpose

To provide administrative and operational support to the Ethics & Compliance Team in the day-to-day delivery of the Masdar Ethics and Compliance Program. The role assists in implementing and monitoring the Program's policies, procedures and guidelines, supports the third-party due diligence process and related systems, and helps maintain accurate records, trackers and reports, thereby promoting ethical behaviour and compliance best practices in alignment with applicable laws and regulations.

Support the E&C team by acting as an initial point of contact for stakeholders and employees for routine ethics and compliance queries, and by directing more complex matters to the appropriate team members.

Responsibilities

- Support the implementation of ethics and compliance processes and procedures across the assigned corporate and business functions, in line with the Masdar Ethics and Compliance Program, to help ensure compliance risks are effectively managed.

- Collaborate with key stakeholders to facilitate the smooth implementation of the ethics and compliance program.

- Assist in the day-to-day administration of the third-party screening system, including reviewing third-party due diligence questionnaires (DDQs), processing quick screening requests, managing system users, and supporting third-party KYC reviews.

- Assist in initiating enhanced due diligence (EDD) and keeping the E&C tracker updated with case progress.

- Assist in reviewing the high volume of EDD reports and continuously update the risk and EDD trackers so they accurately reflect current findings, assessments and disclosures. Act as a focal point for Business Partner Due Diligence queries, escalating complex matters to senior team members as appropriate.

- Provide support for ethics and compliance induction training. Coordinate, when required, with regional offices and Masdar Assets to capture new joiners and leavers each month, provide the necessary updates to Shareholders, and launch the required E&C training.

- Assist with the logistical and administrative tasks associated with training and stakeholder engagement.

- Prepare relevant reports and updates as required, including periodic status reports on EDD cases, disclosures and outstanding items, to keep the team informed of progress and pending actions.

- Maintain and organize ethics and compliance department documentation, including EDD and disclosure logs, trackers, records and reports, keeping them accurate and up to date.

- Assist in preparing and tracking the annual compliance budget throughout the year.

- Process invoices and coordinate with relevant stakeholders - such as Procurement, Finance, and third parties - to ensure a smooth and timely payment process.

- Liaise with Finance on related budget activities and exercises, including the submission of accruals.
