Position Overview:

The Department of Sociology at Ajman University is seeking a highly organized and detail-oriented Instructor Assistant to provide administrative and academic support to the department. The Instructor Assistant will report directly to the Head of the Department and will be responsible for assisting with course management, faculty support, student coordination, and general administrative tasks. The ideal candidate does not need a sociology background but must have excellent organizational, communication, and technical skills.

Key Responsibilities:

1. Administrative Support for the Department:

  • Assist the Head of the Department with daily administrative tasks, including scheduling, document preparation, and correspondence.
  • Organize and coordinate department meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in preparing faculty timetables, class schedules, and room bookings.
  • Handle general office tasks such as document filing, email correspondence, and report preparation.
  • Support the department in organizing events, workshops, and academic activities.

2. Academic and Course Support:

  • Prepare and format PowerPoint presentations, exams, assignments, and other course materials as required by faculty.
  • Upload course content, assignments, and resources to the Learning Management System (LMS) (e.g., Moodle or Blackboard).
  • Assist in exam formatting, printing, and organizing assessments in compliance with university standards.
  • Maintain an organized digital and physical archive of course materials and student records.

3. Student Coordination and Support:

  • Serve as a point of contact for students, providing information about course materials, deadlines, and general academic queries.
  • Assist students with registration, schedules, and university policies.
  • Support faculty in monitoring student attendance and academic progress.

Qualifications and Requirements:

  • Bachelor’s degree in any field (Sociology background is not required).
  • Prior experience in academic administration, office management, or a similar support role is preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and LMS platforms.
  • Excellent organizational and time-management skills.
  • Strong communication skills in English (Arabic proficiency is an advantage).
