We are partnering with one of Genea's passionate Fertility Specialists to find a dedicated PA to support them in their private practice. This is a unique opportunity to work closely alongside a respected clinician, contributing directly to the growth and success of the practice while making a genuine difference in the lives of patients on their fertility journey

Job Description

Currently we are in the market for a Dr PA/ Medical Receptionist working directly with one of our Fertility Specialists four days per week on a permanent, part time basis. This role will see you providing a range of administration and reception tasks, ensuring an exceptional experience for every single patient. Your scope of duties will include;

  • Greeting patients as they come into the clinic, handling calls and making appointments.
  • Administration and data entry - setting up patient profiles on Genie, handling all new patient documentation and updating all relevant details in the system for the doctor.
  • Providing information in regards to fees and services, issuing documentation, consent and explaining complex details to patients.
  • Taking payments, processing Medicare and health fund payments and chasing any outstanding payments.
  • Following up on testing results, booking day surgery and coordinating any treatment bookings required.
  • Fielding any patient enquiries, resolving what you can and liaising with the specialist to ensure all queries are handled.
  • Oversee the smooth running of the clinic, looking for ways to improve processes and ensuring a smooth process for both the Specialist & patients. 

Qualifications

We are looking for an experienced Doctor's Personal Assistant (PA) to join our team, someone with a background in supporting a specialist practice. Proficiency in Genie software is ideal (however not essential), along with strong technical skills and the ability to quickly adapt to new systems.

In this position, a strong sense of urgency, exceptional attention to detail, and the ability to multitask are crucial for your success. As the first point of contact for the practice, you will be dedicated to delivering an outstanding experience for every patient.

You bring discretion and empathy to every patient interaction, understanding that those seeking fertility treatment may be navigating an emotional and complex journey. Your excellent communication skills, both written and verbal, allow you to manage sensitive conversations with confidence and compassion. You are comfortable working autonomously, anticipating the needs of your specialist before they arise, and always bringing a solutions-focused mindset to your work.
