About the Role

This is a temporary full-time role (6-8 months, March-October 2026) and is ideal for someone who thrives in fast-paced environments and enjoys bringing events to life.

The Event Specialist plays a hands-on role in planning, coordinating, and executing a wide range of virtual and in-person events, with a strong focus on third-party trade shows and conferences. This role is designed to support AlayaCare’s busiest event season, making it a great opportunity for someone who thrives in fast-paced environments and wants to play a key role in delivering high-impact events. The Event Specialist will support third-party events, sponsorships, and select AlayaCare-hosted experiences that build brand awareness, generate leads, and engage customers and prospects. The Event Specialist is highly execution-focused, managing event logistics, coordinating with vendors and internal stakeholders, and ensuring seamless on-site and virtual experiences. With a strong attention to detail and a results-oriented mindset, this role contributes directly to AlayaCare’s marketing and revenue goals by delivering high-impact events that reflect the brand and drive meaningful engagement. This role works closely with cross-functional partners across the Revenue team to ensure every event is delivered smoothly, on brand, and aligned with business objectives.

What You’ll Do

  • Under the direction of the Director, support event planning and execution (virtual and in-person) for national and international trade shows, webinars, conferences, sponsorships, AlayaCare hosted events, and user conferences. Responsibilities include sourcing venues, managing timelines, contract negotiations, budgeting and internal and external communications. 
  • Coordinate with vendors and partners to manage and maintain administrative and logistical tasks across multiple concurrent events.
  • Track and manage event inventories, including swag, signage, booth assets, and marketing collateral, ensuring materials are up to date and aligned with brand standards
  • Provide on-site event support, as needed, including site visits, setup, registration, attendee assistance, and teardown.
  • Collaborate cross-functionally with internal teams (Sales, Marketing, Customer Success, Product) to ensure all event deliverables are completed accurately, on time and aligned with event objectives.
  • Assist with event enablement, including coordinating pre-event briefings, event-day support, and post-event debriefs and follow-ups.
  • Assist with post-event reporting, compiling metrics such as registration, attendance, survey responses, and feedback to evaluate success and identify opportunities for improvement.
  • Stay abreast of changes and trends within the post-acute health/home care and b2b SaaS industries and support research into new event opportunities and sponsorships
  • Maintain current knowledge of relevant laws and regulations related to events, permits, and safety guidelines.

What You Bring to the Team

  • Completion of post-secondary education in a relevant field (Bachelor’s or College Level), or completion of post-secondary education in an unrelated field coupled with relevant industry experience in corporate events management as detailed below:
    • 2+ years of experience in corporate marketing events planning and execution.
    • 1+ years of experience in the B2B tech industry.
  • Experience planning, promoting and executing virtual and in-person events.
  • Strong project and time management skills, with the ability to manage multiple concurrent deadlines.
  • Strong attention to detail and accuracy
  • Proven ability to be organized, agile, and solutions-oriented, with a creative approach to problem-solving.
  • Self-motivated and able to work both independently and collaboratively, with minimal supervision
  • Proficiency in HubSpot, Zoom, Asana, and Slack is an asset
  • Bilingual (French/English) is an asset
  • Willingness to travel within North America (up to 15%) may be required; flexible hours can be required due to the nature of the position, including some early mornings, evenings, and weekends.

Location and Work Model

This role is based in the Greater Toronto Area. We’re a hybrid team with set in-office collaboration days, and team members are expected to be at our Toronto office at least two days per week to foster connection, innovation, and teamwork.
