Executive Administrative Assistant
YOUR TASKS AND RESPONSIBILITIES
We are seeking an organized, proactive, and energetic Executive Administrative Assistant to oversee daily workplace operations and champion team culture. As the central hub of the office, this individual will ensure a seamless and productive environment for employees and a welcoming experience for visitors. Serve as the primary point of contact for office floor management, maintenance, and external vendors, including cleaning services, IT support, utilities, and coffee/snack delivery;
Maintain, organize, and optimize the physical office space to ensure a clean, safe, and professional environment;
Monitor and manage inventory for office supplies, technology peripherals, and kitchen provisions;
Manage incoming and outgoing mail, packages, and deliveries;
Manage the pool vehicle schedule;
Ensure compliance of all drivers prior to releasing vehicle keys;
Keep vehicles current on all scheduled maintenance and repairs;
Manage communication with Element, the lease company;
Manage complex executive calendars, prioritizing competing demands across global time zones;
Coordinate domestic and international travel, including detailed itineraries, visa documentation, and expense reconciliation through Concur;
Provide general administrative support to leadership team(s), including calendar management, travel arrangements, and meeting preparation;
Coordinate internal and external meeting logistics, including room setup, catering, and greeting clients or guests;
Manage budget tracking, purchase orders, and invoice processing using SAP or similar systems;
Drive operational efficiency by improving administrative processes and leveraging digital tools such as Microsoft 365, Teams, SharePoint, and Copilot;
Own basic onboarding for new hires, including workstation readiness, building access, and welcoming on day one;
Plan and execute internal team events, holiday parties, milestone celebrations, and volunteer days to foster a positive workplace culture;
Serve as a go-to resource for team questions regarding office procedures, expenses, company policies, schedules, and company or site-level updates;
Maintain office health and safety standards, ensuring compliance with company policy;
Partner with other administrative professionals across the enterprise to ensure seamless coordination; and
Provide backup support and mentorship within the administrative community as needed.
WHO YOU ARE
Bayer seeks an incumbent who possesses the following:
Required Qualifications:
High school diploma
Advanced proficiency in Microsoft 365, including Outlook, Teams, PowerPoint, Excel, and Word;
Strong organizational, communication, and stakeholder management skills;
Proven ability to manage ambiguity and adapt quickly in a dynamic business environment;
High level of discretion and professionalism when handling confidential matters;
Detail-oriented with strong execution and follow-through; and
Strong interpersonal skills, highly organized, and able to work effectively with employees at all levels of the organization.
Preferred Qualifications:
7+ years of experience supporting senior executives in a corporate or global environment;
Experience supporting senior leaders within agriculture, life sciences, or a global enterprise organization;
Experience performing a broad range of administrative duties for executive-level managers, general managers, or department leaders with limited supervision and strong initiative;
Experience assisting with meeting planning and preparation, including drafting agendas and broader communications;
Experience coordinating departmental meetings and on-site or off-site conferences and events;
Experience managing business travel arrangements, expense reports, and invoice payments;
Familiarity with Bayer systems and tools, including Concur, SAP, and SharePoint;
Experience coordinating executive engagement related to sustainability, community impact, or Bayer Fund initiatives; and
Demonstrated ability to support cross-functional and global teams.
Employees can expect to be paid a salary between $72,240.00 - $108,360.00. Additional compensation may include a bonus or incentive compensation (if relevant). Additional benefits include health care, vision, dental, retirement, PTO, sick leave, etc. This salary range is merely an estimate and may vary based on an applicant's location, market data/ranges, an applicant's skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
