Job Description

We are seeking a high-performing Executive Assistant ready to accelerate their career and support the highly successful Managing Director | Urban Planning, based in our Sydney CBD office.

The ideal candidate will have extensive administrative experience and thrive in a fast-paced, challenging environment. This permanent role requires someone who brings a proactive, "can do" attitude and excels in a high-performance, dynamic team setting.

In this key support role, you will be responsible for a wide range of administrative tasks which include:

  • Comprehensive diary management and coordination of meetings and appointments.
  • Managing correspondence including emails, phone calls and written communications on behalf of the Managing Director.
  • Preparing documentation such as correspondence, presentations, agendas and minutes.
  • Coordinating travel arrangements, expenses and credit card reconciliations.
  • Supporting people and engagement initiatives in partnership with the People & Performance and National Operations teams.
  • Assisting with the coordination of client and staff events.
  • Maintaining accurate records, filing systems and CRM data.
  • Providing broader office and operational support as required.

Qualifications

To meet the requirements of this busy role, you have experience in a similar role and bring the following skills:

  • 4 + years experience in a similar Executive Assistant or senior administration role.
  • Strong communication and interpersonal skills with a client-focused mindset.
  • Advanced skills in Microsoft Word, Excel and PowerPoint. 
  • Experience in Adobe InDesign is highly advantageous. 
  • High attention to detail and accuracy.
  • Strong time management and ability to multi-task.
  • Working with minimal supervision.
  • Professional communication skills.
  • Proactive in supporting and adding value to the team.
