DEPT® is seeking a diligent Executive Assistant to join the Executive Support & Travel team in the Netherlands, keeping the Executive Team’s calendars prioritized, travel organized, and stakeholders well supported. You will manage complex schedules, coordinate national and international trips, and plan events while handling confidential information with discretion in a fast paced setting. Ideal candidates are fluent in English and Dutch, proficient with Google Workspace, and skilled at juggling competing priorities. The role is hybrid with 3 office days per week (most weeks 2 days in Amsterdam and 1 day in Rotterdam), and 36 to 40 hours. This role is at the center of our global support team in The Netherlands. Think of us as the logistical backbone of the Executive Team, keeping things running smoothly, calendars up-to-date and helping out everywhere we can. We're the ones who answer questions, offer support, and make sure everything is well-planned and proactively organised. We’re the reliable crew that everyone counts on to keep things rolling.

JOB PURPOSE

We are looking for a diligent, smart and talented individual who will be a part of the Executive Support & Travel team. You will support the global Executive Team. Within this control center, agendas are managed, priorities are set and travel is booked (both national and international travel). 

WHAT YOU'LL DO

  • Manage executive calendars, including scheduling and coordinating meetings, appointments, and travel arrangements;
  • Act as a liaison between executives and internal/external stakeholders, maintaining effective communication and relationships;
  • Anticipate and proactively address the needs of executives, ensuring their schedules and priorities are effectively managed;
  • Prioritize and work efficiently and handle confidential information discreetly;
  • Booking trips and accommodations for the Executive team, overseeing travel arrangements within DEPT®, researching hotels, and organizing conferences.
  • Event planning for off-sites and board meetings. 

WHAT YOU'll BRING

  • Professional working proficiency in English and Dutch language;
  • Previous experience as Personal Assistant or Executive Assistant or similar;
  • Our team works with Google and all things Google; drive/sheets/email/calendar. It is important that you work well with Google systems;
  • Strong organizational, planning, and time management skills;
  • Are a great multi-tasker who is used to juggling competing priorities;
  • A personality that matches well with a fast paced, demanding and dynamic international working environment;
  • Able to collaborate well at various levels of the organization and working in a high-trust team set-up with a getting things done mentality.  
  • Availability for 36 or 40 hours a week and able to work at the office at least 3 days a week - most weeks 2x in Amsterdam and 1x in Rotterdam;
  • A reasonable degree of flexibility around the working hours and picking up some last-minute urgent matters in evenings or on the weekend is appreciated.
