  • Employment Term: Permanent Full Time Opportunity 

  • Location: Auchenflower, with direct access from Auchenflower train station and just 5 mins from Toowong Shopping Village and 10 mins from Brisbane City

As the Executive Assistant supporting the General Manager, The Wesley Hospital, you will provide strategic executive support, acting as a trusted partner who ensures priorities are managed effectively, commitments are coordinated seamlessly, and the demands of a busy executive office run smoothly. 

Your Part In the Wesley and UnitingCare Health Team:​​​​

This is a highly visible role requiring exceptional organisational skills, sound judgement and the ability to anticipate needs before they arise. You will work closely with key internal and external stakeholders while ensuring the General Manager is supported to deliver strategic and operational outcomes. 

A diverse role, you'll be accountable for: 

  • Managing a complex and dynamic executive diary, ensuring priorities are coordinated and time is used effectively 

  • Proactively preparing for meetings, commitments and deadlines to ensure each day runs smoothly 

  • Liaising with important internal and external stakeholders 

  • Assisting with and coordinating projects that support strategic and operational objectives 

  • Providing executive support including meeting scheduling, travel and accommodation arrangements, email and correspondence management 

  • Providing secretariat support to committees including agenda preparation, minute taking and action tracking 

  • Drafting professional reports, presentations and executive correspondence 

  • Screening calls and coordinating urgent requests and emerging priorities 

  • Coordinating events, workshops and functions as required 

  • Assisting with general administration, office management and HR-related activities 

  • Supporting medical workforce administration 

  • Providing support to other Hospital Executives and Executive Assistants when required 

  • Undertaking project and improvement work as required 

  • Performing other duties as directed to meet evolving service needs 

 

You will provide supervision and guidance within a multi-disciplinary team through effective decision making and support, you will lead by example through exceptional communication, customer service and patient advocacy.

  • Ability to build trusted relationships and confidently manage competing priorities on behalf of a senior executive 

  • Flexibility to respond to changing business needs, including occasional work outside standard business hours
