Auterion is hiring an Executive Assistant to support the CTO and Chief of Staff in Munich, full-time onsite, with 3+ years supporting senior leaders in a tech environment. The Executive Assistant at Auterion will work closely with our Chief Technology Officer and Chief of Staff. Your attention to detail, excellent communication skills, and ability to actively anticipate the needs of our leadership team will be essential to our success. Day-to-day, you will manage the calendar of the CTO and CoS, organize events and assist the Chief of Staff on a daily basis with multiple tasks. You will be responsible for both of their schedules. This will include coordinating meetings & travel, handling confidential information, whilst also acting as the liaison between the C-suite and various stakeholders. Additionally, you will be responsible for ensuring that the day to day operations within the business are performed in due time.

Responsibilities and Duties:

  • Proactively manage the complex schedule of the CTO and CoS, including scheduling meetings, appointments, travel arrangements, and calls, in order to enable leadership to focus on strategic goals.
  • Arrange domestic and international travel itineraries, including flights, accommodations, transportation, visas and meetings.
  • Organize and coordinate meetings, including agenda preparation and meeting materials.
  • Provide administrative support, such as expense management, reports, invoices etc.
  • Collaborate cross-functionally with teams to ensure smooth project delivery and alignment with executive priorities, as well as team events.
  • Work on high-impact tasks that require strong attention to detail, research, and problem-solving skills.
  • Handle sensitive company information with the highest level of integrity and confidentiality.
  • Identify opportunities to improve processes and operations that can help executives manage their time more effectively and the business run more smoothly.
  • Work autonomously across multiple time zones, managing multiple tasks. 

Qualifications and Skills:

  • 3+ years of experience in supporting a senior executive team
  • Excellent written and verbal communication skills
  • Proven experience working for a fast-paced start-up/scale-up, ideally in tech 
  • Previous experience with complex calendar management, including scheduling meetings, appointments, and events across different time zones
  • Willingness to go the extra mile and be flexible with working hours when necessary
  • You are adaptable, with the ability to manage multiple tasks in a fast-changing environment
  • Ability to anticipate the needs of executives and work autonomously
  • Proficiency in modern tech tools (e.g., Google Workspace, Slack, etc.) 
  • Fluent in English
  • Fluency in German is a plus
  • CH / EU Citizenship is required 
  • Valid drivers license required
  • Willingness to travel regularly and at times last minute between Zurich / Munich offices
