Job Overview

Job Requirements

  • Coordinate import/export activities and shipments in compliance with company policies and regulatory requirements
  • Act as designated deputy for the Authorized Economic Operator (AEO) representative regarding import/export and shipping matters at the Luterbach site
  • Prepare and manage import/export requests for materials, prototypes, and samples
  • Create and track purchase requisitions (PRs) in SAP and ensure timely delivery of goods and services
  • Serve as deputy for goods receipt (GR) confirmations in SAP and support procurement-related processes
  • Plan, purchase, and manage office supplies and consumables for general site use
  • Organize and coordinate onsite meetings, workshops, and company events in collaboration with internal stakeholders and facility management
  • Manage incoming and outgoing correspondence and support daily administrative operations
  • Support recurring employee engagement, wellbeing, and community initiatives (e.g., Bike to Work, Future Day, Yoga sessions, team events)
  • Assist with site communications, facility-related announcements, and administrative support for the Site Manager

What your background should look like

  • Commercial apprenticeship, business administration education, or equivalent qualification
  • Several years of experience in administration, office management, executive support, or a similar role
  • Strong knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Familiarity with office technologies and collaboration tools, including videoconferencing systems
  • Fluent written and spoken German and English
  • Excellent communication and interpersonal skills, with the ability to collaborate across diverse cultures and functions
  • Independent, proactive, and solution-oriented working style with strong organizational skills
  • Interest or experience in event planning and coordination
  • Professional, reliable, discreet, and flexible mindset with a commitment to fostering a safe, healthy, and positive workplace culture
