Lightspeed Systems is looking for an organized, proactive Executive Assistant to support our leadership team and help deliver a great employee and customer experience.

In this role, you’ll provide administrative support to senior leaders while coordinating company events, meetings, and travel arrangements. You’ll help keep day-to-day operations running smoothly by managing schedules, organizing logistics, and ensuring important activities stay on track.

ABOUT THE ROLE

  • Manage calendars for assigned leaders, scheduling meetings and coordinating availability across teams.
  • Organize internal and external meetings, including invitations, agendas, meeting materials, and logistics.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Prepare presentations, reports, and meeting materials as needed.
  • Track follow-up items and assist with administrative coordination for key projects.
  • Process expense reports and maintain accurate records in accordance with company policies.
  • Support general administrative tasks for the leadership team.
  • Maintain confidentiality when handling sensitive company information.

Events & Team Coordination

  • Coordinate logistics for company meetings, team gatherings, and leadership offsites.
  • Support planning and execution of internal events and employee engagement activities.
  • Liaise with vendors, venues, and service providers to ensure successful event delivery.
  • Arrange catering, meeting rooms, and hospitality for internal meetings and visitors.
  • Assist with conference and trade show logistics when required.
  • Partner with People Operations, Marketing, and other teams to support company initiatives and events.

ABOUT YOU

  • 2–4 years of experience in an administrative, executive support, office coordination, or events role.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • High attention to detail and a commitment to delivering quality work.
  • Comfortable working with a variety of stakeholders across the organization.
  • Proactive and dependable, with a willingness to take ownership of assigned responsibilities.
  • Ability to adapt and remain flexible in a changing environment.
  • Proficiency with Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
  • Experience coordinating meetings, travel, or events is preferred.
  • Experience in a SaaS or technology company is a plus.

This is a remote position open to candidates residing in the United Kingdom. Occasional travel within the UK may be required for company meetings, team events, and industry conferences.
