The Opportunity
The AI & Data Science team at Prosus is scaling fast, from 85 people toward 100 and beyond, and this role exists to ensure that growth is sustainable, human, and high-functioning.
As EA & Team Experience Lead, you will own two integrated areas: senior executive business partnership to the Global Head of AI, and end-to-end stewardship of the team experience. This is not a traditional EA role, and it is not a pure people operations role. It sits deliberately at the intersection of both.
You will partner closely with HR, IT, Finance, Legal, Comms, Events, and Workplace to drive delivery without direct authority, and you will act as a visible, trusted presence for the 85+ people on the AI team.
Within your first quarter, the Global Head of AI should be fully unblocked from operational and logistical overhead. Within six months, team engagement should be measurably stronger.
What You Will Do
Executive Business Partnership (50%)
Manage the Global Head of AI's calendar, inbox, and priorities with full ownership and good judgment
Coordinate complex international travel, prepare itineraries, and handle visa logistics
Prepare briefing materials, pre-reads, and follow-up actions for board, leadership, and cross-functional meetings
Act as gatekeeper and trusted proxy: represent the Global Head of AI with internal and external stakeholders
Track strategic communications and ensure alignment across the leadership team
Manage budget tracking and expense compliance for the function
Manage and develop junior team assistant(s), delegating execution-level work effectively
Maintain the highest standards of discretion and confidentiality at all times
Team Experience & Wellbeing (50%)
Own the full onboarding experience for new AI team hires: from pre-arrival logistics through integration and early engagement
Plan and execute team offsites, leadership programmes, and large-scale events end-to-end
Apply a structured framework for team wellbeing, using PERMA (Positive emotions, Engagement, Relationships, Meaning, Accomplishment) as the underlying lens
Hold a regular office hours rhythm, or other rituals as useful, to maintain a live pulse on how the team is doing — act as the eyes and ears for AI leadership
Oversee office and workspace needs, including hybrid work setup, seating strategy, and facilities coordination
Drive cross-functional coordination with HR, IT, Events, Finance, Workplace, Legal, and Comms to deliver seamlessly
Track engagement and wellbeing signals over time, and use them to improve the team dynamics
Who You Are
You are someone who thrives close to the action but does not need the spotlight. You find genuine satisfaction in making others more effective, and you bring the same rigour to designing a team offsite as you do to preparing a board-level brief.
You can hold complexity: managing up to a senior leader, managing down to a direct report, and coordinating laterally across a matrixed organisation, all without losing the thread. You care about people, and that shows up in the quality of what you build for them. You move at pace, work comfortably with 60-80% of the plan, and course-correct without drama.
What You Bring
Proven experience in a senior EA, executive business partner, or operations role supporting senior leadership in a fast-scaling technology organisation
Demonstrated ownership of team experience programmes: onboarding, culture, engagement, or rituals — not just coordination or administrative support
Track record of designing and running team events at scale: offsites, all-hands, leadership programmes, and recurring engagement touchpoints
Experience managing or developing a junior team member
Comfort operating across HR, IT, Finance, Legal, Comms, and Events, driving delivery without direct authority
Fluent in English with the presence and communication clarity to operate across an international, matrixed organisation
Familiarity with PERMA or other evidence-based wellbeing frameworks is a strong plus
Background in organisational development, HR business partnering, or experience supporting AI or deep-tech teams is a plus
