Seeking an Executive Secretary/PA to the EVP, Global Head of Digital Strategic Partnerships at Mashreq in the United Arab Emirates. This full-time onsite role provides executive and team support, including calendar management, travel and visa coordination, meetings and workshops, documentation, and procurement tasks, while coordinating with HR, Finance, IT and external partners. The Secretary / PA will provide comprehensive administrative, operational, and coordination support to the EVP, Global Head of Digital Strategic Partnerships (DSP), while also assisting the broader DSP team.
The role will be responsible for managing schedules, coordinating business trips and visas, organizing meetings and workshops, raising claim requisitions, handling correspondence, preparing documentation, and ensuring smooth day-to-day operations of the DSP office. As the first point of contact for internal and external stakeholders, the role requires professionalism, confidentiality, and strong organizational skills.
Executive Support
Manage EVP’s calendar, appointments, and correspondence.
Draft presentations, reports, and communication material on behalf of EVP.
Screen calls, emails, and other communications.
Travel & Visa Coordination
Plan and coordinate business trips including flights, accommodation, and local transport.
Manage visa applications and other travel-related formalities in coordination with HR and travel providers.
Maintain up-to-date travel and expense records.
Team Coordination
Provide logistical and administrative support to DSP team members.
Assist in planning and coordinating workshops, internal meetings, and partner sessions.
Maintain action trackers and ensure follow-ups are monitored.
Documentation & Reporting
Prepare and edit reports, agendas, minutes, and presentations.
Maintain proper filing (digital and physical) for DSP records and agreements.
Finance & Procurement Support
Raise claim requisitions, expense claims, and procurement requests in coordination with Finance.
Track budget utilization for team activities, events, and workshops.
Communication & Liaison
Act as the point of contact between EVP, internal teams, and external partners.
Coordinate with HR, Finance, IT, and other departments on DSP requirements.
Operational Support
Support event planning, conferences, and external partner visits.
Ensure logistical readiness for all DSP-related activities.
5–7 years’ experience in a PA, Executive Assistant, or team support role, preferably in banking, consulting, or corporate environments.
Proven experience in coordinating business travel and managing visa applications.
Experience in raising claims/requisitions and coordinating with Finance.
Excellent organizational and time-management skills.
Strong written and verbal communication skills in English (Mandarin or Arabic a plus).
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Ability to manage sensitive information with discretion and confidentiality.
Strong interpersonal skills and ability to engage with senior executives.
Bachelor’s degree preferred but not mandatory.
