We’re looking for a Facilities Services Administrator to join our national Facilities team and play a key role in keeping everything running smoothly behind the scenes.

This is a fast-paced, high-impact role where you’ll bring structure, accuracy and coordination across reporting, systems and workflows. If you enjoy working with data, thrive on organisation and take pride in making things work better, this is a great opportunity to make a real difference.


What you’ll be doing

  • Provide centralised administrative and coordination support across the Facilities Services function
  • Consolidate and validate service data to produce accurate national reporting packs, dashboards and trackers
  • Maintain reporting templates, ensuring consistency, accuracy and timely delivery
  • Coordinate governance forums, including preparing agendas, packs, minutes and tracking actions to closure
  • Act as a key coordination point between national teams, state stakeholders and service providers
  • Support onboarding, systems access and process alignment for internal and external stakeholders
  • Maintain contract documentation, including master copies, schedules and version control
  • Log, track and monitor escalations, audits and follow-up actions, ensuring visibility of risks and issues
  • Support workflow management across multiple service streams in a high-volume operational environment
  • Assist in maintaining compliance and safety documentation, including contractor records and incident tracking

 

To be successful in this role you’ll have:

  • Previous experience in an administrative or coordination role, ideally within facilities, property or a related environment
  • Strong organisational skills with the ability to manage multiple priorities in a fast-paced setting
  • High attention to detail, particularly when working with data, reporting and documentation
  • Proficiency in Microsoft 365 tools (Excel, Outlook, Teams, SharePoint, Word) Smartsheet’s, and reporting systems
  • Ability to work with data and systems, including BI dashboards and work order or workflow platforms
  • Strong communication skills with the ability to collaborate across diverse teams and stakeholders
  • A proactive, self-motivated approach with strong prioritisation skills
  • Ability to support process improvement and maintain governance discipline
  • A team-focused mindset with a commitment to accuracy, consistency and continuous improvement
