We are currently looking for an HR Operations Specialist to strengthen our HR team in Dubai.
We are seeking a professional who will systematically support HR operations, improve operational processes, and work closely with the HRBP and HRPP.
Prepare, process, and maintain HR documentation throughout the employee lifecycle, including employment contracts, offers, certificates, policies, and other personnel documents in compliance with UAE labor legislation.
Maintain and update employee personnel files and HR records, ensuring accuracy, completeness, and compliance with legal and internal requirements.
Generate employment certificates, confirmations, references, and other HR-related documents upon request.
Conduct regular audits of employee files and HR documentation to identify missing information, inconsistencies, and compliance risks.
Ensure HR documentation is audit-ready and compliant with applicable labor laws and internal policies.
Prepare and coordinate immigration-related documentation required for visa and work permit applications in collaboration with the HR People Partner and external service providers.
Coordinate medical examinations, biometric appointments, and interactions with relevant government authorities throughout the immigration process.
Maintain accurate immigration records and ensure compliance with local immigration requirements and internal procedures.
Manage leave records and related documentation in accordance with UAE labor law.
Administer absence management processes, including data collection, request processing, employee support, creation of forms and guidelines, policy compliance monitoring, and consolidation of absence data for headquarters.
Propose and initiate improvements to absence management processes and prepare system enhancement requests when required.
Enter employee and candidate information into HR systems.
Maintain and update employee records, including personal information, position changes, location transfers, and terminations.
Create and maintain employee documentation databases and supporting HR records according to internal standards.
Review and reconcile invoices related to employee insurance and HR service providers.
Initiate and coordinate payments through internal systems while ensuring compliance with approved contracts and budgets.
Review and update historical HR records to ensure compliance with legal and internal requirements.
Identify and correct errors, duplicates, and data gaps while maintaining supporting documentation.
Support historical HR databases and prepare information for internal and external audits.
1+ years of experience in HR Operations, HR Administration, or Personnel Administration, including experience with UAE labor legislation and immigration processes.
Experience cooperating with insurance brokers or insurance providers.
Strong understanding of HR administration processes, including employment contracts, onboarding, and time tracking.
Knowledge of HR reporting and analytics, including data consolidation and audit preparation.
Understanding of HRIS systems, HR process automation, and participation in system implementation or optimization projects.
Strong analytical and data interpretation skills.
Excellent attention to detail and organizational skills.
English proficiency: B2 minimum.
