Jira Administrator, Systems & Delivery

Robots & Pencils is seeking a Jira Administrator to help stabilize, streamline, and scale an enterprise Atlassian ecosystem supporting over 45,000 users across 900 Jira and Confluence instances. This role blends technical administration, process design, and backlog remediation, driving both immediate impact and long-term sustainability.
As a systems and delivery specialist, you’ll lead efforts to restore operational health, clear existing support queues, and establish scalable governance across the Atlassian platform. You’ll partner closely with engineering, operations, and PMO teams to design cleaner, faster, more automated systems that empower users and enhance service delivery efficiency.
Key Responsibilities
System Administration & Optimization
- Manage day-to-day Jira Software, Jira Service Management, and Confluence operations across large, distributed environments.
- Streamline project creation, configuration, and integration processes to reduce current setup times (45–90 minutes per project).
- Maintain and evolve Confluence spaces, templates, and governance models for better documentation and collaboration.
- Resolve customer support backlog and operational tickets, prioritizing requests delayed by 2–6 months.
- Partner with the Senior Administrator to ensure knowledge of redundancy and consistent administration standards.
Process Design & Automation
- Translate organizational workflows into efficient, automated Jira processes.
- Identify and implement automation opportunities to reduce manual overhead.
- Collaborate with delivery leads, project managers, and engineers to enhance backlog management and reporting practices.
- Build dashboards and analytics for operational visibility and improved decision-making.
- Support cleanup and rationalization of 500+ custom fields, 500+ statuses, and redundant workflows.
Governance & Data Integrity
- Establish and enforce standards for permissions, roles, issue types, and workflows across 900+ instances.
- Conduct regular system audits to ensure data quality, security compliance, and configuration consistency.
- Partner with IT and security teams to align Atlassian practices with enterprise governance and privacy policies.
- Document configurations, processes, and platform procedures to enable sustainable operations and knowledge transfer.
Collaboration & Knowledge Sharing
- Serve as a trusted advisor for Jira and Confluence strategy, guidance, and platform improvements.
- Cross-train with the Senior Administrator to build operational resilience and knowledge continuity.
- Provide user enablement sessions and contribute to internal documentation and training.
- Participate in roadmap discussions for platform enhancements and enterprise-level automation initiatives.
Required Skills & Qualifications
- 2–4 years of experience administering Jira Software and Confluence in enterprise-scale environments.
- Solid understanding of workflows, schemes, permissions, and automation configuration.
- Experience supporting Agile and ITSM practices (Scrum, Kanban, service management).
- Ability to translate business processes into maintainable Jira configurations.
- Strong documentation, communication, and problem-solving skills.
- Familiarity with automation and integration tools within the Atlassian ecosystem.
Nice to Have
- Atlassian Certified Jira Administrator or equivalent credentials.
- Experience with ScriptRunner, Automation for Jira, or REST API scripting.
- Exposure to Atlassian Cloud and Data Center environments.
- Understanding of ITSM/ITIL frameworks and governance best practices.
- Experience in platform rationalization, cleanup, or large-scale migration initiatives.
