Marketing Coordinator (Marketing Department) – Calgary, AB

Job Summary

We are currently looking for a dynamic and experienced Marketing Coordinator to join the Marketing Department. This position will assume a wide variety of marketing responsibilities with an emphasis on event coordination and execution, CRM, Content Management, and special projects. There are also some administrative tasks with this role. It requires a true team player with a “can-do” attitude, and an individual with a great service and a solutions-oriented approach. The candidate will have a strong work ethic, be collaborative, professional, adaptable, positive and interested in their work. 

Work Environment

This position will be primarily onsite with the expectation that the candidate will be available to work in the office five (5) days a week. Occasional hybrid work can be accommodated based on departmental needs, though it cannot be guaranteed and may change if business demands require more onsite support in any given week.

Hours of work are from 8:00 a.m. to 4:00 p.m.. Occasional pre-authorized overtime may be required to meet business needs.

Primary Responsibilities

Event Coordination & Execution

  • Coordinate end-to-end event logistics for client-facing and virtual events, including attendee lists, invitations, venue, catering, audiovisual requirements, and on-site logistics.
  • Research and recommend venue options and conduct site visits as required.
  • Prepare event materials including agendas, signage, name badges, promotional items, and branded assets.
  • Attend Calgary-based events and provide day-of-event support, including setup, problem-solving, and teardown.
  • Maintain detailed event trackers, schedules, and checklists to ensure smooth and consistent event delivery.
  • Manage the administration, allocation, and distribution of tickets for firm-hosted events.

CRM Data Steward

  • Proactively manage and maintain contact data, ensuring accuracy and completeness.
  • Build, test, and send electronic communications such as bulletins and event invitations to clients and prospects, supporting business development efforts.
  • Generate administrative reports related to data quality, user adoption, and client segmentation, ensuring consistent accuracy.
  • Develop and update documentation of CRM procedures and best practices.
  • Partner with the IT department and external vendors to troubleshoot and resolve technical CRM/database issues.
  • Onboard and provide training to new hires on Nexl.

Content Management

  • Post and maintain lawyer online biographies, including regular updates of experience items, speaking engagements, legal recognitions and photos.
  • Contribute to Firm-wide bulletin production, ensuring that content aligns with marketing and business development goals and client engagement.
  • Oversee Fasken TV.

Special Projects

  • Assist with various special projects as needed.
  • Manage and maintain the region’s branded corporate merchandise program to enhance the Firm's visibility.
  • Coordinate the Gifting Program.

Reporting & Administration

  • Maintain organized records including invoices, receipts, expenses, budgets, and supporting documentation.
  • Coordination of bill payments and cheque requisitions for marketing and department expenses.
  • Provide administrative support to the Regional Marketing team as needed.
  • Manage changing priorities and competing deadlines with professionalism, sound judgment, and attention to detail.

Required Knowledge and Experience

  • 2+ years of experience in marketing, communications, events, or business development; experience in a professional services environment is preferred.
  • Post-secondary degree or diploma in Marketing, Communications, Business, or a related field, or equivalent experience.
  • Creative, enthusiastic, and results-driven team player able to collaborate with local and firm wide, multi-disciplinary teams.
  • Self-motivated, proactive, and capable of working independently with minimal supervision.
  • Strong organizational, project management, and prioritization skills, with the ability to manage multiple high-profile initiatives simultaneously.
  • Ability to perform effectively under pressure with tight deadlines and competing deliverables.
  • Excellent written and verbal communication skills, with the ability to interact professionally with external contacts and individuals at all levels of the organization.
  • Highly professional, client-focused approach with strong judgment and problem-solving skills.
  • Proficiency with Microsoft Office Suite, event management platforms, CRM systems, Adobe Acrobat, and Canva; experience with Nexl or similar CRM tools is an asset.
  • Demonstrated commitment to privacy, ethics, and professional integrity.

The salary range for this position varies based on market rates and experience levels of the qualified candidate. The base pay offered is based on factors such as location, job-related knowledge, skills, experience, internal and market equity.
