The Role: 

In this pivotal role, you'll partner directly with our Head of Logistics & Industrial to drive operational excellence and enable broker productivity through efficient business support infrastructure. You'll lead the transformation of administrative operations while serving as the CRM subject matter expert for our New Zealand Logistics & Industrial team. 
 

Snapshot of responsibilities: 

  • Lead operational efficiency improvements by leveraging automation, AI-enabled software, and strategic delegation to JLL Business Services offshore team 

  • Serve as CRM superuser for team platforms, driving adoption, data quality, and training across the L&I team 

  • Own end-to-end marketing campaign execution using modern platforms (Eloqua, CampaignTrack) to deliver market-leading collateral and generate qualified leads 

  • Coordinate agency contract and deal paperwork processes, working with legal, finance, and JBS to ensure quality standards 

  • Manage compliance with REA licensing, AML/CFT requirements, and JLL financial/legal obligations across all L&I operations 

  • Oversee debtor reporting, invoice approval workflows, and monthly expense reconciliation in partnership with finance 

  • Collaborate with Head of Operations L&I AUS and local operations leaders to align NZ operations with broader ANZ platform standards 

  • Support onboarding/offboarding processes for L&I team members in collaboration with HR, IT, and operations 

  • Maintain team social media presence and coordinate client events to enhance market visibility 

  • Provide backup support for other Agency Business Support Administrators during leave periods 

  • Support the team with day-to-day administrative requirements, including invoice and expense management, preparation of reports and maintaining of team works in progress

What you will bring: 

  • Minimum 3-5 years in business support, operations coordination, or marketing coordination within corporate environments (commercial real estate or professional services highly desirable) 

  • Proficiency in CRM platforms, or demonstrated ability to rapidly achieve expert-level competency in complex database systems 

  • Advanced skills in Microsoft Office suite (Excel, Word, PowerPoint, Outlook, Nitro Pro) 

  • Working knowledge of email marketing tools (Eloqua preferred), campaign management systems, and social media platforms 

  • Exceptional attention to detail and accuracy in data management with strong written communication skills 

  • Process improvement mindset with ability to analyse workflows and design efficiency solutions 

  • Proficiency or genuine interest in exploring and implementing AI tools to enhance productivity 

  • Proven ability to master new systems rapidly, troubleshoot independently, and provide constructive user feedback 

  • Experience coordinating with offshore or virtual teams advantageous 

  • Ability to understand and prioritize requirements from commissioned broker teams 

  • Tertiary qualification in Business Administration, Marketing, Communications, or related field preferred but not essential
