mimic robotics AG, an early stage Zurich based deep tech robotics and AI startup, is hiring an Office & Operations Coordinator for fulltime onsite. The role centers on keeping the office running, managing supplies, facilities, access, deliveries, and vendor relationships, while supporting the founders with calendars, travel and practical requests, and handling finance and general administration such as invoices and expenses. You will thrive in a fast moving environment if you are proactive, highly organized, able to juggle changing priorities and own tasks end to end. - Experience in a startup, scale-up or similarly fast-moving environment.
- Experience with office management and general admin, ideally combined with executive-assistant or founder-support responsibilities.
- Someone who is happy to do the work themselves, follows up and gets things over the line.
- A practical, organised approach and the ability to handle changing priorities.
- Good judgement, discretion and a helpful attitude.
- Comfort with digital tools and picking up new systems.
- Fluent English; German is a plus for local administration and vendor communication.
- Manage the office day to day: supplies, facilities, access, deliveries, suppliers and anything else that needs sorting out.
- Keep the office tidy, organised and ready for the team and visitors.
- Support the founders with calendars, meeting coordination, travel and other practical requests.
- Handle finance and general administration, including invoices, expenses, payment preparation and related paperwork.
- Keep track of deadlines, open tasks and important documents.
- Follow up with suppliers and other external contacts when needed.
- Notice problems early, prioritise what needs attention and get things done.
