To support our business, we are looking for a Part-time Office & order Administrator who is based in Basel. 

 

Position Summary

The Office & Order administrator ensures the smooth day-to-day functioning of the office while supporting customer operations, order processing, and administrative workflows across the EMEA region. The role acts as a central point of coordination between internal teams and external partners, ensuring accurate data management, efficient processes, and a positive office environment.

Essential Duties & Responsibilities 

Office & General Administration:

  • Manage and oversee daily office operations to ensure a smooth and efficient workplace 

  • Act as the first point of contact for internal staff (like HR, Finance), visitors, and external partners 

  • Coordinate office supplies, facilities, and vendor management 

  • Support management with administrative and organizational tasks 

  • Maintain and update internal documentation and records 

  • Ensure compliance with internal policies and procedures 

  • Contribute to a positive and well-organized office environment 

Administration:

  • Process and coordinate supplier documents required by customers 

  • Review, maintain, and update EDI supplier platforms 

  • Manage activities related to various supplier portals 

  • Organize, file, and maintain administrative documentation 

  • Customer Platform Support 

  • Provide first-line customer support by responding to inquiries via phone or email 

  • Work cross-functionally with Service, Sales, Marketing, Finance, and Management to enhance customer satisfaction and support business growth 

Order Entry & Processing :

  • Handle service order processing and invoicing for the EMEA region 

  • Track and manage orders, monitor delivery status, and issue credit/debit notes in line with company policies 

  • Maintain accurate customer order information within the CRM 

  • Ensure CRM and ERP systems are kept up to date with correct customer data, contact details, and asset information 

 

 

Experience & Qualifications 

  • Proven experience as an Office Manager, Administrative Manager, or similar role 

  • Strong organizational and multitasking skills 

  • Excellent communication skills in English (written and spoken); additional languages are a plus 

  • Proficient in Microsoft Office 365 / Google Workspace 

  • Experience working with CRM and ERP systems 

  • Ability to work independently, proactively, and accurately 

  • Strong attention to detail and problem-solving skills 

  • Discretion and professionalism when handling confidential information 

  • A hands-on, service-oriented mindset 

 

Location

The position is based in Basel.  This role is a hybrid role in line with current company policy.
