Lycopodium Americas is currently recruiting for an Office Receptionist/Project Administrator to join our growing Projects team in Mississauga,Ontario. 

Reporting to the Lead Project Administrator the Office Receptionist/Project Administrator will will provide essential administrative and high-level office support while assisting the Project Administration team.

The tasks you'll perform

  • Act as the first point of contact, delivering a professional and welcoming experience for clients, visitors, and staff.
  • Manage front desk operations, including greeting guests, handling incoming calls, and monitoring access via Doorbird when away from reception.
  • Coordinate and maintain meeting rooms and office spaces to support client meetings and internal engagements.
  • Support day‑to‑day office services, including managing communications, maintaining office and kitchen supplies, and ensuring timely restocking.
  • Assist with catering and event coordination for client and staff meetings, lunches, and functions.
  • Provide administrative support to the Project team, including document formatting, reports, and meeting minutes.
  • Collaborate effectively across all business units to ensure smooth and efficient office operations.
  • Maintain a professional presentation and attire appropriate for a front‑of‑house role.

The expertise you'll bring

  • Minimum 3 years’ experience in a similar reception or administrative role.
  • Strong organizational, time management, and multitasking skills, with the ability to prioritise and maintain accuracy and professionalism.
  • Excellent written and verbal communication skills, with a polite, professional manner.
  • Ability to work both independently and collaboratively, engaging effectively with stakeholders at all levels (clients, vendors, and colleagues).
  • Proficiency in the Microsoft Office Suite (Word, Excel, PDF tools), with working knowledge of PowerPoint, Visio, and related applications.
  • Demonstrated administrative capability, including word processing and general office support (experience highly regarded).
  • Strong analytical and problem‑solving skills, with consistent delivery of high‑quality work under minimal supervision.
  • High standards of integrity, confidentiality, discretion, and professionalism, with a commitment to building positive relationships and excellence in delivery.

The expected salary range for this role is $45,000 to $55,000.  This range is based on the role’s job family and level and reflects a good faith estimate for the role at the time of posting.  Your final offer will depend on factors such as market conditions, internal equity and candidate experience, skills, and qualifications relevant to the role.  We believe in fair, competitive pay that reflects the value you bring to the team.
