The Officer – Planning & Performance is responsible for supporting procurement planning and monitoring, supplier relationship management, and administrative functions within the department. The role ensures accurate tracking of procurement activities, assists in supplier management, and provides administrative support to maintain efficiency, compliance, and performance standards.
Responsibilities
Procurement Planning and Monitoring:
- Collaborate with stakeholders to understand procurement needs and objectives.
- Follow up with stakeholders and category managers; update the procurement plan status weekly.
- Prepare reports for the procurement plan as required.
Supplier Relationship:
- Assist in the supplier registration process.
- Periodically contact suppliers to update the vendor master and ensure accuracy of the vendor database.
- Assist in conducting supplier performance evaluations and analysis.
- Assist in conducting supplier satisfaction surveys and analysis.
Administrative Support:
- Provide administrative support for transactional procurement.
- Support contract administration as required.
- Assist in preparing department reports and dashboards.
- Maintain records of all important data.
- Manage systems for maintaining auditable documents, files, and records for compliance and integrity purposes.
- Ensure adherence to agreed procurement performance measurements (SLA, KPIs) with all stakeholders.
- Coordinate with auditors and provide necessary details.
- Follow all other duties as directed by the Head of Planning & Performance or nominated staff.
- Perform any other duties as directed by the line manager.
Requirements and Skills
Education & Qualifications:
- Bachelor’s Degree in Business Administration, Engineering, Supply Chain, or related field.
- Knowledge and expertise in electronic supplier management systems and ERP systems.
- Knowledge of Office 365 suite is preferred.
Experience:
- Minimum 3 years of experience in procurement planning, supplier relationship, and/or vendor management.
