Millennium Hotels and Resorts is seeking a Project Coordinator - Hospitality in Dubai for a full-time onsite role that blends hospitality project coordination with technical design review, RFP and tender management, quotation evaluation, and strict document control aligned to hotel brand standards and design guidelines. You will partner with consultants, contractors, suppliers, hotel teams and internal stakeholders to support the Project Manager through the full lifecycle, maintain trackers, organize meetings, conduct site visits, and provide regular status updates while escalating issues early. The ideal candidate will work closely with consultants, contractors, suppliers, hotel teams, and internal stakeholders, supporting the Project Manager throughout the project lifecycle.
Key Responsibilities:
· Support the Project Manager in coordinating hotel development, renovation, refurbishment, and fit-out projects from design through execution.
· Coordinate with consultants, contractors, suppliers, hotel teams, owners, and internal stakeholders to ensure smooth project delivery.
· Follow up on project deliverables, deadlines, approvals, and outstanding actions.
· Maintain project trackers and provide regular project status updates.
· Organize project meetings, prepare agendas, record minutes, and follow up on action items.
· Participate in site visits and prepare site visit reports, observations, and action lists.
· Assist in monitoring project progress against approved schedules and milestones.
· Coordinate technical comments between the Corporate Technical Department, consultants, contractors, and hotel teams.
· Identify coordination issues, missing information, design discrepancies, and potential technical concerns, and escalate them to the Project Manager.
· Prepare and maintain consolidated technical comments and follow up on their closure.
· Review contractor, consultant, and supplier quotations and commercial proposals against the approved scope of work.
· Prepare quotation comparison sheets and technical/commercial bid comparison reports.
· Identify exclusions, qualifications, assumptions, deviations, scope gaps, and missing items within submitted quotations.
· Coordinate technical and commercial clarifications with bidders and ensure all responses are properly documented.
· Support negotiations, Value Engineering, and clarification processes with contractors, consultants, and suppliers.
· Manage project document control, including drawings, specifications, reports, RFPs, quotations, technical submissions, approvals, and correspondence.
· Maintain document registers, revision control, submission logs, and approval trackers.
· Ensure the latest approved documents are properly recorded, distributed, and accessible to relevant stakeholders.
· Prepare project reports, presentations, trackers, comparison sheets, and management updates.
Qualifications:
· Bachelor’s degree in architecture, Interior Design, Civil Engineering, or a related technical discipline.
· 2–4 years of relevant experience, preferably within the hospitality, hotel development, renovation, or fit-out sector.
· Practical understanding of hotel design, construction, renovation, and project coordination.
· Experience reviewing architectural and interior design drawings and technical documentation.
· Good understanding of hotel brand standards and design guidelines.
· Experience coordinating with consultants, contractors, suppliers, and multidisciplinary project teams.
· Previous experience with document control and project documentation.
· Excellent attention to detail and ability to manage multiple projects and priorities.
· Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
· Good knowledge of AutoCAD and/or Revit is an advantage.
· Fluent in English.
