Whai Rawa
is the commercial arm of Ngāti Whātua Ōrākei, responsible for maximising the financial returns of Ngāti Whātua Ōrākei’s assets, to support the aspirations of Ngāti Whātua Ōrākei whānau (now and in the future). Whai Rawa are a team of approximately 29 professionals that work in property development, residential asset management, finance, legal, communications and events. Whai Rawa also own and manage the Eastcliffe retirement village.

Purpose of the role

The Property Administrator supports the Residential Asset Management team by providing administrative support for the day-to-day management of Whai Rawa’s residential property portfolio.

Ngā tino pūkenga/whēako | Qualifications & Experience

  • Minimum two years relevant experience.

  • Experience in property or tenancy management preferred.

  • Knowledge and understanding of (or working towards) te reo maōri and tikanga will be an advantage.

  • Experience with the NZ Health & Safety legislation and management practices.

  • Knowledge of the existing portfolio would be an advantage.

  • Experience with complex databases and property management systems.

  • Advanced MS applications.

  • Excellent organisation, time management, and multi-tasking skills.

Key Result Areas

  • Maintain accurate records across property management systems, including company entities, contractors, properties, leases, and facilities

  • Create, manage, and close reactive and planned maintenance work orders (WO) in a timely manner

  • Cross-check contractor invoices against agreed rates and procurement pricing, ensuring accuracy before processing

  • Update the Odoo accounting system following work order completion to support invoice approval and payment processing

  • Manage invoice workflows within Odoo, ensuring efficient and accurate financial administration

  • Generate reports to monitor contractor performance, with a focus on work order turnaround times

  • Prepare and deliver monthly performance reports on contractor responsiveness for reactive maintenance

  • Coordinate client and tenant communications, including managing work order acknowledgement via text/SMS systems

  • Maintain rent records and manage rent review data within the property systems

  • Support the organisation and maintenance of property management documentation and filing systems

  • Respond to inquiries from tenants, property owners, and internal stakeholders in collaboration with the Residential Asset Management team

  • Provide general administrative support and undertake additional duties as required
