Job Summary

The Purchase Coordinator will be responsible for coordinating procurement activities, reviewing purchase requirements, communicating with suppliers, preparing technical and commercial comparisons, supporting purchase order preparation, and ensuring that materials and services are delivered as per approved specifications, quality standards, and project requirements.

Key Responsibilities

  • Review purchase requests and technical requirements before initiating supplier inquiries.

  • Coordinate with suppliers to obtain quotations, technical details, and commercial proposals.

  • Collect, evaluate, and organize quotations based on management instructions and site requirements.

  • Arrange samples for management, site, and store approvals whenever required.

  • Prepare detailed technical and commercial comparison sheets, including:

    • Brand details and specifications

    • Quality standards

    • Pricing and commercial terms

    • Payment and delivery conditions

    • Warranty details

    • Previous supplier performance records

  • Prepare purchase orders based on final management approval.

  • Coordinate with sites and stores to ensure received materials comply with approved requirements.

  • Follow up with suppliers regarding order status, delivery schedules, and required documentation.

  • Coordinate and support various service contracts, including:

    • Maintenance contracts for camps and offices

    • Firefighting contracts

    • Cleaning contracts

    • Elevator maintenance contracts

    • Pest control contracts

    • Water supply contracts

    • Waste management contracts

    • Other related service agreements

  • Assist in preparing repair and maintenance requirements for power tools, generators, pumps, fuel meters, and electrical equipment.

  • Perform other procurement-related duties and assignments as required by the Procurement Manager.

Required Skills & Qualifications

  • Diploma/Degree or technical qualification from a recognized institute.

  • Minimum 3+ years of relevant experience in purchasing, procurement coordination, or technical administration is mandatory.

  • Strong technical understanding with the ability to review and evaluate product specifications.

  • Good knowledge of MS Office applications with strong documentation and reporting skills.

  • Excellent communication skills in English (written and verbal).

  • Ability to prepare professional comparison sheets, reports, purchase documents, and procurement records.

  • Previous procurement experience with knowledge of supplier coordination and purchasing processes will be an added advantage.

  • Ability to work under pressure, manage multiple priorities, and handle urgent requirements when required.

  • Strong coordination skills with suppliers, sites, stores, and internal stakeholders.

  • Good team player with a proactive, responsible, and solution-oriented approach.
