Job Description
- Maintain, update, and organize QA/QC documentation, records, reports, and correspondence.
- Control, track, and distribute quality-related documents between site and office teams.
- Ensure proper filing, storage, and retrieval of quality records in both electronic and hard-copy formats.
- Maintain document registers, revision logs, and quality record databases.
- Compile and manage inspection reports, test reports, material certificates, calibration certificates, and other QA/QC records.
- Assist QC Inspectors and Engineers in collecting, recording, and maintaining inspection and testing documentation from site activities.
- Prepare document transmittals, submissions, and quality dossiers for client review and project handover.
- Coordinate with construction, engineering, procurement, and QA/QC teams to ensure timely submission of quality documents.
- Support site quality activities by maintaining inspection schedules, records, and status reports.
- Monitor and track NCRs, punch lists, and corrective action documentation.
- Assist in preparing weekly and monthly QA/QC reports.
- Support internal and external audits by providing required documentation and records.
- Ensure compliance with project specifications, company procedures, quality standards, and client requirements.
- Maintain confidentiality and integrity of project quality documentation.
- Perform site visits as required to collect, verify, and update quality records and documentation.
- Carry out any other duties assigned by the QA/QC Manager, QC Manager, or Project Management Team.
Qualifications
- Diploma or Bachelor's Degree in Mechanical Engineering or related disciplines.
- Minimum 1–4 years of experience in QA/QC documentation, document control, or administrative support within Oil & Gas, EPC, Construction, Fabrication, or Industrial projects.
- Experience working in both project site and office environments is preferred.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Familiarity with document management systems such as Aconex, SharePoint, EDMS, or similar platforms.
- Basic understanding of QA/QC processes, inspection documentation, and project quality requirements.
- Knowledge of ISO 9001 standards and quality management systems is an advantage.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
