Rugby School Dubai is seeking a warm, professional and highly organised bilingual Receptionist & Parent Relations Executive to provide an exceptional front-of-house experience and support positive relationships between the school and its parent community.
As part of Aldar Education, Rugby School Dubai will open in August 2026 as a premium, purpose-driven school combining British heritage with a forward-thinking approach.
Based at the school’s main reception and working closely with the Parent Relations Manager, the successful candidate will be a key point of contact for parents, visitors, students and staff. The role will support the effective management of parent enquiries, communications, events and feedback, while ensuring every interaction reflects the high standards and values of Rugby School Dubai.
Fluency in spoken and written Arabic and English is mandatory for this position.
Front-of-House and Reception
- Provide a welcoming, professional and efficient reception service for parents, visitors, students and staff.
- Act as the first point of contact for incoming telephone calls, emails and in-person enquiries in both Arabic and English.
- Ensure enquiries are handled efficiently or directed to the appropriate individual or department.
- Maintain a high standard of presentation across the reception and parent-facing areas of the school.
- Manage visitor registration, access procedures and identification checks in line with safeguarding and security requirements.
- Coordinate visitor appointments and notify relevant staff promptly upon arrival.
- Maintain accurate visitor, contractor and appointment records.
- Ensure all front-of-house interactions reflect the values, standards and premium service expectations of Rugby School Dubai.
Parent Relations Support
- Support the Parent Relations Manager in building and maintaining positive relationships with the school’s parent community.
- Respond to routine parent enquiries promptly and sensitively in Arabic and English, escalating complex or sensitive matters as appropriate.
- Provide clear and accurate information to Arabic-speaking and English-speaking families.
- Support communication between Arabic-speaking parents and relevant academic or operational teams when required.
- Maintain accurate records of parent enquiries, feedback, concerns and complaints, ensuring actions are tracked through to completion.
- Follow up with relevant departments to ensure parents receive timely and accurate responses.
- Support the implementation of parent engagement initiatives across the school.
- Assist with preparing and distributing parent communications, notices, updates and invitations in Arabic and English where required.
- Help identify recurring parent concerns or service issues and raise these with the Parent Relations Manager.
- Handle confidential and sensitive information with discretion and professionalism.
Parent Experience
- Help deliver a consistent, responsive and positive experience for all parents throughout their interactions with the school.
- Provide parents with accurate information regarding school procedures, key dates, events and appropriate points of contact.
- Support new families as they join the school, helping them understand school processes and access the appropriate support.
- Assist with parent orientations, welcome events, information sessions and community engagement activities.
- Support the collection of parent feedback through surveys, meetings and informal engagement.
- Work with relevant teams to ensure parent-facing information remains accurate, accessible and up to date.
Events and School Community
- Support the Parent Relations Manager with the coordination and delivery of parent events, workshops, coffee mornings, tours and community activities.
- Assist with event invitations, attendance lists, registration, room preparation and parent communications.
- Provide bilingual front-of-house and parent support during school events and key activities.
- Build positive working relationships with parent representatives and members of the wider school community.
Administration and Coordination
- Maintain accurate parent relations trackers, enquiry logs, contact records and follow-up actions.
- Coordinate meetings and appointments for the Parent Relations Manager where required.
- Prepare correspondence, reports and supporting documents relating to parent engagement.
- Liaise with Admissions, Academic, Operations, Finance, Marketing and other departments to resolve parent enquiries efficiently.
- Support the maintenance of accurate parent contact information and communication records.
- Undertake general administrative duties required to support the reception and Parent Relations function.
Safeguarding and Confidentiality
- Follow all school safeguarding, visitor management and student collection procedures.
- Remain alert to safeguarding concerns and report any concerns immediately through the appropriate school channels.
- Maintain strict confidentiality regarding students, families, employees and school matters.
- Ensure information is handled in accordance with Aldar Education policies and applicable data protection requirements.
Minimum Qualifications
- Bachelor’s degree, diploma or equivalent qualification.
Minimum Experience
- A minimum of two years’ experience in a reception, customer service, parent relations or administrative role.
- Experience in a school, hospitality or premium customer service environment is desirable.
- Experience supporting parents, customers or members of the public in a high-volume environment would be advantageous.
Job-Specific Knowledge and Skills
- Fluency in spoken and written Arabic and English is mandatory.
