OneSchool Global is seeking a Regional Support Administrator, commencing as soon as possible. The Regional Support Administrator plays a key role in ensuring the efficient delivery of administrative and operational support across the region. This role is responsible for coordinating and providing administrative support across various functions, including facilities, transport, workplace health and safety (WHS), procurement, inventory, helpdesk support, events, communications, policies, and customer inquiries.
Working independently within the Operations team, the Regional Support Administrator provides administrative support to the Regional Director, Project Coordinators, and other staff as needed, contributing to the seamless execution of operational activities.
Key Responsibilities
Operational Administration & Business Support
• Provide comprehensive administrative support across regional operations, ensuring alignment with policies, procedures, and governance requirements
• Maintain accurate records, registers, databases, and documentation
• Coordinate procurement processes including purchase orders, supplier liaison, invoice processing, and expense reconciliation
• Manage inventory tracking and allocation of operational resources
• Support onboarding and offboarding processes, including system access, equipment provisioning, and record updates
• Administer staff-related records, benefits, and internal programs
Helpdesk & Systems Support
• Act as the first point of contact for the regional helpdesk, triaging and resolving support requests
• Provide first-line support across key platforms (e.g., Office 365, SharePoint, Canvas, Sentral, Streamline)
• Maintain and continuously improve the internal support site, knowledge base, and system documentation
• Coordinate IT equipment requests, setup, deployment, and tracking
• Escalate technical issues to internal teams or external providers as required
Project & Operational Coordination
• Provide administrative and coordination support to regional and global projects
• Assist Project Coordinators and Operations leadership in tracking deliverables and meeting milestones
• Coordinate meetings, prepare documentation, and track actions to support project execution
• Assist with implementation and training of systems, tools, and operational initiatives
Facilities, WHS & Transport Support
• Support administrative coordination of facilities management, transport operations, and WHS systems
• Maintain compliance documentation, contractor records, and operational registers
• Assist with audits, inspections, and reporting requirements in line with regulatory and organisational standards
Events & Communications
• Assist in the planning and coordination of regional events, forums, and meetings
• Maintain content and updates across internal communication platforms (e.g., SharePoint)
• Respond to and triage enquiries from internal and external stakeholders with professionalism and efficiency
Continuous Improvement & Governance
• Identify opportunities to streamline processes and improve operational efficiency
• Contribute to development of systems, templates, and workflows
• Support standardisation and consistency across the region
• Maintain confidentiality and uphold high standards of data integrity and governance
Skills
• Strong administrative, organisational, and time management skills
• Advanced Microsoft 365 and SharePoint capability
• Excellent written and verbal communication skills
• Strong problem-solving and analytical ability
• Customer-focused service approach
Essential
• 3–5 years’ experience in an administrative or operational support role
• Experience in a fast-paced, multi-functional environment
• Proficiency in Microsoft Office 365
• Ability to work independently and as part of a team
Desirable
• Experience in education, corporate, or non-profit sectors
• Procurement, invoicing, and supplier management experience
• Experience with ticketed helpdesk systems
• Familiarity with platforms such as Canvas, Xero, ApprovalMax
• Formal qualification in Business Administration or related field
