Smartbox is seeking a Sales Administrator to join the UK and Ireland Sales team, a role that blends purpose-led customer service with precise, data-driven administration. You’ll triage inquiries, coordinate appointments and trials, prepare accurate quotations, and maintain complete CRM records while generating timely pipeline, KPI and performance reports to help sales specialists match the right solutions for people who rely on AAC. Essential is at least three years’ experience in sales or customer service, CRM proficiency, sharp attention to detail, and a real interest in assistive technology or healthcare. To apply, tailor your CV to show cross-functional collaboration, process improvements, and concrete examples of improving customer experiences, plus evidence of juggling priorities with empathy.
At Smartbox, our assistive technology empowers people with disabilities who experience speech difficulties to express themselves, connect with others, and live more independent lives.
We’re proud to be a global leader in augmentative and alternative communication (AAC), supporting people across the UK, US, Europe, and beyond. But what truly sets us apart is our people: passionate, collaborative, and driven by the impact our products have every day.
If you’re motivated by meaningful work and want to apply your technical expertise to something that genuinely changes lives, we’d love to hear from you.
We’re looking for an experienced Sales Administrator to become a central part of our UK and Ireland Sales team.
This is much more than processing paperwork. You’ll help shape the experience customers, families and professionals receive from their first enquiry onwards. By coordinating enquiries, appointments, quotations, trials and long-term loan requests, you’ll make it easier for people to explore and access communication technology that can make a meaningful difference to their lives.
You’ll bring structure, accuracy and momentum to a busy sales operation. You’ll keep customer and opportunity information reliable, help the team understand its pipeline through clear reporting, and make sure important actions keep moving. Your work will enable our sales specialists to spend more time supporting customers and finding the right solutions for each individual.
You’ll bring confidence, care and excellent organisation to a varied role that includes:
Acting as a welcoming first point of contact for sales enquiries and leads.
Triaging and qualifying enquiries so customers receive the right support promptly.
Coordinating appointments, diaries, customer communications and wider sales activity.
Providing clear and helpful information about Smartbox products and services.
Preparing accurate quotations and supporting opportunities from initial enquiry through to purchase.
Coordinating professional assessments, equipment trials and long-term loan requests.
Maintaining complete and accurate customer, activity and opportunity records within our CRM and business systems.
Producing timely sales, pipeline, trial, KPI and performance reports.
Following up sales opportunities and helping maintain visibility across the customer journey.
Working closely with colleagues in Sales, Marketing, Trials and Operations to create a joined-up customer experience.
This isn’t a typical sales administration role. You’ll be working at the intersection of:
Purpose-led sales and customer service.
Assistive technology, AAC and accessibility.
Healthcare, education and disability services.
Assessments, equipment trials and long-term loan coordination.
CRM data quality, sales pipeline management and performance reporting.
Sensitive customer journeys where accuracy, responsiveness and empathy truly matter.
You’ll support people who may be discovering AAC for the first time, alongside families, professionals and colleagues with specialist knowledge. Your ability to combine efficient commercial administration with thoughtful, person-centred communication will directly influence their experience of Smartbox.
The role offers a rare opportunity to see how strong administration, accurate information, and excellent coordination can help people access tools that support communication and independence.
We’re looking for a distinctive combination of sales operations experience, customer focus, analytical confidence and purpose-driven thinking.
You’ll be someone who can move comfortably between speaking with a customer, coordinating several diaries and priorities, preparing an accurate quotation, updating CRM information and producing a clear pipeline report. You’ll understand that every detail matters, because reliable processes help customers receive the right response at the right time.
There is no single right career path into this role. You may have developed your experience within sales operations, customer service, healthcare, education, assistive technology or disability services. What matters is your ability to demonstrate the relevant skills and apply them thoughtfully in a purpose-led environment.
At least three years’ experience supporting a sales, customer service or commercial team.
Experience producing KPI, sales pipeline or performance reports.
Experience using CRM or business systems to maintain accurate and complete records.
Knowledge of assistive technology, healthcare, education or disability services.
Experience qualifying leads and following up sales opportunities.
The ability to manage several priorities and deadlines in an organised and dependable way.
Professional, clear and customer-focused written and verbal communication.
Strong attention to detail and a consistent commitment to data accuracy.
A continuous improvement mindset, with an interest in making processes simpler and customer experiences better.
Some areas we often work with include:
Assistive technology, AAC and accessibility-focused products.
Customer enquiries involving families, professionals, healthcare, education or disability services.
Cross-functional working across Sales, Marketing, Trials and Operations.
Quality, data protection and the responsible handling of personal or sensitive information.
Improving processes, response times and the consistency of customer experiences.
Purpose-driven work with real-world impact.
Collaborative and supportive culture.
Hybrid working and flexibility.
Opportunities to grow, lead and shape future products.
Strong benefits package + wellbeing support.
