Supports accounting and project management teams through coordination of preparation, tracking, and execution of construction contracts, including project document management, job-cost accounting, and maintenance of related records.

• Support, promote, and practice the Company core values, vision, and mission; follow code of ethics, workplace conduct, safety, and other established policies
• Creates, reviews, and maintains accurate records related to the contract process in accordance with established record-keeping requirements; maintains related files; enters data into external and internal systems
• Reviews and compiles information from project management and estimating team to complete job set-up in accounting and project-management systems and related databases
• Performs initial review of contracts to ensure compliance with Company standards related to key considerations such as payment and general liability terms
• Ensures compliance with contract record-keeping, reporting, and procedural requirements governed by local, state, and/or federal entities
• Maintains insurance and tax information provided by subcontractors; ensures subcontractor status meets requirements
• Maintains and distributes documentation related to lien notices, waivers, and other certifications
• Maintains change order documentation and related records
• Regularly communicates with internal staff, subcontractors and/or job owner representatives to obtain and provide information
• Reviews requests and coordinates subcontractor payments; obtains necessary approvals
• Obtains documentation and completes steps necessary for job close-out in accordance with contract requirements
• Assists with processing of customer credit applications
• Assists with Accounts Receivable processing, including billing and payment follow-up
• Coordinates and compiles information necessary for internal and external audits
• Maintains, generates, and distributes reports and other documents as required
• Bachelor’s degree in construction management, business, accounting, or related discipline; or equivalent combination of education/experience preferred
• Valid drivers’ license and ability to maintain a clean motor vehicle record required
• 3+ years of experience providing contract support in construction or similar industry preferred
• Some knowledge of basic accounting principles
• Ability to read and interpret contract and bid documents, and accounting reports
• Ability to effectively interpret and present data and information
• Ability to manage multiple priorities, work independently, and exercise sound judgement and decision-making
• Ability to maintain confidentiality and interact professionally with representatives inside and outside the Company
• Proficiency in use of Microsoft office applications including Outlook, Word, Excel, and PowerPoint; ability to learn organization’s database, content management system, and other software as needed
• Wears and maintains required PPE (personal protective equipment) to ensure safe performance of job responsibilities as required
• Regularly communicate (talk and hear) to support safe coordination, instruction, and teamwork in the work environment
• Regularly required to perform tasks that require visual acuity to review information, inspect materials or equipment, and ensure accuracy, quality, and compliance in work performed
• Regularly sits for long periods at a desk using a computer to perform administrative, planning, and reporting responsibilities
• Regularly required to use hands to feel, handle, and manipulate objects, write, and use a keyboard and/or mobile device to complete daily administrative and communication tasks
• Occasionally lifts and/or moves up to 35 pounds with or without assistance to handle materials, tools, equipment, or documents essential to the role
• Rarely works in environments that may include loud noise, moving equipment, dust, or varying indoor/outdoor conditions depending on operational needs
