Ajman University is seeking a UAE national for the full-time, onsite role of Student Services Coordinator to replace Hamdah Alseqetri. This frontline position supports the Office of Registration, managing the front desk, mail flow, inquiries in Kayako, registration tasks, producing letters and transcripts, MOE attestation uploads, courier coordination, and coordinating with colleges to maintain accurate student records. Requirements include a bachelor’s in business administration or IT, at least two years’ related experience, excellent English communication, solid records management, and MS Office proficiency; Banner SIS experience and multilingual skills are a plus. ESSENTIAL DUTIES & RESPONSIBILITIES:

 

  • Oversees the front desk/ reception area of the Office of Registration.

  • Receives and sorts daily incoming and outgoing mails and responsible for all the inquiries and requests in “Kayako”.

  • Assists in the registration processes.

  • Prepares official letters/ transcripts and graduation certificates.as received on E-requests.

  • Prepares the smart label sticker for the graduation certificates and uploads the soft copy to the MOE website for attestation purposes.

  • Assists students with their shipment/courier requests.

  • Escalates and follow-ups all students’ inquiries with the Colleges and Offices.

  • Monitors the inventory of office equipment /resources and ensures sufficient supplies are available.

  • Provides the first point of contact for students, parents, visitors, and other customers; and deal with their requests and inquiries as appropriate.

  • Answers, screens, and forwards incoming phone calls in a timely and polite manner.

  • Greets students, parents, faculty staff, and guests that visit the Office.

  • Coordinates with the registration staff, colleges, and offices ensuring that student-related processes are correctly followed, and accurate records are kept.

  • Preforms miscellaneous job-related duties as assigned by line manager.

 

QUALIFICATION & EXPERIENCE:

 

  • A bachelor’s degree in business administration/IT or any related field.

  • A minimum of two years of experience directly related to the duties and responsibilities specified is required.

 

KNOWLEDGE & SKILLS:

 

  • Excellent English verbal and written communication skills

  • Records maintenance skills.

  • Very good skills in Microsoft package.

  • Strong interpersonal and communication skills and the ability to work effectively with staff from diverse communities.


 

  • Preferably with experience in Banner Student Information System.

  • Database management skills.

  • Proficiency in additional languages will be an added value.

 

WORKING CONDITIONS:

 

  • Work is normally performed in a typical interior/office work environment.

  • No or very limited physical effort required.

  • No or very limited exposure to physical risk.
