We are looking for a detail-oriented Supply Chain Specialist, Customs & Logistics who will play a key role in managing our international inbound operations. In this position, you will coordinate closely with freight forwarders, customs brokers, and internal teams to ensure the seamless movement of goods across borders. You’ll be responsible for preparing and validating commercial documentation, monitoring shipments from origin to destination, and ensuring compliance with all customs regulations. While many customs and logistics activities are handled in-house, you will also partner with external brokers to support complex declarations and regulatory clearances.
This is an exciting opportunity for someone who thrives in a fast-paced environment, enjoys problem-solving, and is passionate about optimizing global supply chain processes while ensuring accuracy and compliance every step of the way.
IN THIS ROLE, YOU WILL:
Customs and Documentation (In‑House Focus)
Prepare, review, and maintain commercial invoices, packing lists, HS codes, and other shipping documents to ensure accuracy and compliance for each shipment.
Validate data required by customs brokers for entries (including values, Incoterms, country of origin, and tariff classifications) and proactively resolve discrepancies.
Coordinate with customs brokers on customs entries, release status, holds, and inspections, following up to ensure timely clearance.
Maintain organized digital records of customs documentation, entries, and charges to support audits and internal control requirements.
Broker and Freight Forwarder Coordination
Serve as the primary operational contact for freight forwarders and customs brokers on day‑to‑day shipments.
Provide accurate shipment information and documentation to brokers and monitor their performance, escalating service or compliance issues as needed.
Review and reconcile brokerage, freight, duty, and tax invoices against agreed rates and shipment files, flagging discrepancies to Finance for resolution.
Logistics Tracking and Issue Resolution
Track inbound shipments (ocean, air, truck) from origin to final delivery and maintain up‑to‑date status in internal systems and tracking reports.
Proactively communicate ETAs, delays, and risks to internal stakeholders such as Purchasing, Planning, and Sales.
Investigate and support resolution of logistics issues, including short shipments, damages, missing documents, and customs delays.
Data, Systems, and Process Improvement
Ensure shipment and customs data is accurately maintained in ERP and transport systems (e.g., POs, receipts, landed cost elements).
Support preparation of basic KPIs such as on‑time delivery, clearance times, broker performance, and freight cost trends.
Contribute to continuous improvement of import, customs, and logistics processes, including SOP development and standardized ways of working with brokers and forwarders.
ABOUT YOU:
Post‑secondary education in Supply Chain, Logistics, International Trade, or a related field. University degree preferred.
3–5 years of experience in logistics, international shipping, or supply chain operations, preferably with imports into Canada and/or the U.S.
Working knowledge of customs documentation and basic customs procedures (e.g., commercial invoices, HS classification, duties and taxes, Incoterms).
Experience coordinating with freight forwarders and customs brokers.
Strong attention to detail, organization, and follow‑through in a high‑volume, deadline‑driven environment.
Solid Excel and ERP skills, with comfort working with shipment and cost data.
Clear written and verbal communication skills, with the ability to work effectively with overseas vendors and external partners across various time zones.
Canadian customs or trade designation (e.g., CCS) or experience with CBSA/CARM processes is an asset
