About the Role
This is a hands-on dedicated Facilities Manager Lead role covering two connected strands of equal importance: leading the operationalisation of 8 Kippax Street through pre-opening readiness, and into long-term ongoing operations, and owning business-as-usual facilities operations across the rest of the Sydney campus portfolio.
In the pre-opening phase, you will work hand-in-hand with the project and fit-out teams to ensure all FM requirements are embedded into the 8 Kippax handover process. You will build the full vendor roster, stand up the compliance framework, implement the PPM schedule, and make sure every building system is commissioned, tested, and ready from day one. Post-opening, you will own day-to-day operations for 8 Kippax, managing the stabilisation period and continuously raising the bar on building performance. In parallel, you will own BAU facilities operations for the wider Sydney campus, keeping those buildings running, vendors accountable, and compliance on track, so both parts of the portfolio get the same level of attention and rigour.
You will report directly to the Global Facilities Lead and work closely with Workplace Experience, IT, Security, and People to deliver a world-class campus experience across Sydney.
What you'll do
What you’ll do (responsibilities)
8 Kippax Operationalisation (Pre-Opening)
Lead the end-to-end FM readiness process for 8 Kippax, owning the transition from construction handover to fully operational building
Partner with the project and fit-out teams to embed all FM requirements into the handover process and sign off on building systems, infrastructure, and documentation
Build and maintain a comprehensive asset register for 8 Kippax, capturing all equipment, warranties, O&M manuals, and service contract details
Develop and implement the full 52-week PPM schedule for the building, aligned to all statutory, WHS, and manufacturer requirements
Onboard the full vendor roster for 8 Kippax, including all hard and soft services, ensuring every supplier is compliant and service-ready before go-live
Establish the compliance framework for 8 Kippax, including the insurance tracker, SWMS approval process, and risk assessment requirements for all contractors
8 Kippax Ongoing Operations
Take full ownership of day-to-day FM operations at 8 Kippax, maintaining high standards across reactive maintenance, rapid response, and issue resolution
Manage the post-opening stabilisation period, including snagging, and operational fine-tuning in close collaboration with the project team
Oversee the delivery of planned preventative and reactive maintenance programmes, ensuring all work is completed in full, on time, and to standard
Drive vendor performance across all contracted services at 8 Kippax, holding suppliers accountable to SLAs, compliance requirements, and commercial obligations
Establish and maintain robust governance frameworks, performance reporting cadences, and escalation pathways for 8 Kippax aligned with global FM standards
Ensure full statutory, WHS, and regulatory compliance across 8 Kippax, maintaining continuous audit readiness
Own and maintain asset registers, maintenance databases, and all associated documentation to underpin strong data integrity
Manage minor works, moves, and refurbishments at 8 Kippax with a focus on operational continuity, risk mitigation, and delivery to scope
Wider Sydney Campus Support
Own business-as-usual FM operations across the rest of the Sydney campus portfolio, holding the same bar for reactive response, vendor accountability, and compliance as at 8 Kippax
Lead, develop, and performance-manage the on-site maintenance team, providing clear direction and hands-on day-to-day support
Oversee delivery of planned preventative and reactive maintenance programmes across these sites, ensuring all work is completed in full, on time, and to standard
Drive vendor performance across all contracted services, holding suppliers accountable to SLAs, compliance requirements, and commercial obligations
Establish and maintain robust governance frameworks, performance reporting cadences, and escalation pathways aligned with global FM standards
Ensure full statutory, WHS, and regulatory compliance across all Sydney campus buildings outside 8 Kippax, maintaining continuous audit readiness
Own and maintain asset registers, maintenance databases, and all associated documentation to underpin strong data integrity across the wider portfolio
Manage minor works, moves, and refurbishments across the wider portfolio, with a focus on operational continuity, risk mitigation, and delivery to scope
Collaborate with Workplace Experience, IT, People, and Security teams to enable seamless, integrated campus operations across all Sydney locations
What we're looking for
Solid experience in facilities management within a commercial or tech environment, ideally with exposure to building openings or major fit-out handovers
Proven ability to stand up FM operations from scratch, including vendor mobilisation, PPM implementation, and compliance frameworks
Strong knowledge of WHS, statutory compliance, building systems, and vendor governance
Experience managing building handovers and working closely with construction or project delivery teams
Highly organised and proactive, with the ability to manage multiple workstreams simultaneously and stay ahead of issues before they become problems
A confident communicator who can manage relationships with project teams, vendors, senior stakeholders, and cross-functional partners
Comfortable owning a building as if it were your own, with a high bar for quality, safety, and the day-to-day experience of everyone who uses the space
Comfortable managing a multi-site portfolio, holding 8 Kippax and the wider Sydney campus to the same standard and giving each the attention it needs
Ability to flex across multiple Sydney sites and provide cross-site support when priorities demand it
