This position is a member of our Water Supply Division.

 

HERE’S WHAT YOU’LL BE DOING

  • Assist in supporting public drinking water regulatory compliance programs by accurately and consistently entering data, coding and scanning documents, and filing. Follow business processes and standard operating procedures for data entry.

  • Perform administrative duties including: preparing and providing responses to questions received from internal and/or external telephone calls and email in accordance with section, division and agency policies; maintaining files; sorting and distributing mail; making photocopies; scanning documents; sending faxes; proofreading, reviewing and preparing documents to ensure compliance with agency requirements; and review and write standard operating procedures.

  • Review, and prepare correspondence, forms, training materials, and documents for mass mail outs while assuring compliance with division requirements and agency data standards including reviewing and proofreading documents prepared by others to ensure compliance with agency correspondence and accessibility requirements.

  • Assist with coordinating requirements related to program records and prepares files for delivery to the Central File Room; locates records and/or review responses for information requests, such as, public information requests. Work closely with the division Records Liaison to ensure agency records management policies and procedures for retention, storage, access, and destruction are followed.

 

KEY QUALIFICATIONS

  • Experience performing data entry.

  • Experience using software to generate and edit pdf documents or forms.

  • Experience tracking documents, projects, budgets, and/or assignments through databases or other means.

  • Experience answering multi-line phones. 

  • Experience working in an office environment in an administrative capacity.

  • Experience working with technical staff (i.e. Scientists or Engineers) in an administrative capacity.

  • Experience filing documents.

 

Qualifications

 

REQUIRED EDUCATION & EXPERIENCE

Graduation from a standard senior high school or its equivalent plus one year of full-time experience providing administrative and/or clerical support in an office setting.

Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience.

Work Schedule

Standard business hours are M-F, 8:00 a.m. - 5:00 p.m.

Individual and work group schedule determined by the Water Supply Division.
