We are looking for a part-time Workplace & Personal Assistant to provide trusted support across both professional and personal matters. Someone who can seamlessly move between responsibilities of different scales: from managing schedules, arranging travel, and preparing for meetings, events, conferences, and engagements, to ensuring the workplace is organised, welcoming, and fully prepared.
You will take ownership of the details that make a difference: keeping the office presentable, managing supplies, groceries, deliveries, and practical requests, while also providing personal support through appointments, travel arrangements, and day-to-day organisation.
The ideal candidate is flexible, detail-oriented, and able to anticipate needs before they arise. You enjoy variety, are comfortable with changing priorities and last-minute requests, and approach every task with a positive, solution-focused mindset, understanding that no task is too big or too small.
This role requires confidentiality, discretion, flexibility and a willingness to support where needed.
• Manage calendars, schedules, appointments, and daily priorities
• Arrange travel bookings, including flights, accommodation, and transportation
• Prepare and coordinate logistics for meetings, events, conferences, press appearances, and other engagements
• Support with planning and organisation of professional commitments and activities
• Handle workplace arrangements, including grocery shopping, errands, ordering supplies, ensuring a well-maintained and organized environment and other day-to-day requests
• Respond to last-minute requests with flexibility, calmness, and a solution-oriented approach
• Anticipate needs and proactively identify ways to make daily life and operations run more smoothly
• Coordinate with internal teams and external contacts when needed
• Take ownership of tasks from the smallest practical detail to larger responsibilities
● Proven experience as a Personal Assistant, Secretary, or similar role, preferably supporting senior executives or Founders
● Highly organised, detail-oriented and capable of handling multiple priorities with discretion
● Is highly organised, reliable, and detail-oriented
● Has a natural ability to anticipate needs and think ahead
● Is flexible and comfortable with changing priorities and unexpected requests
● Has a hands-on, “no task is too small” mentality
● Is comfortable working independently and taking initiative
● Enjoys variety and thrives in a fast-paced, dynamic environment
● Can balance structured responsibilities with more spontaneous and practical tasks
● Has a positive attitude and enjoys being a dependable point of support
● Comfortable with flexible working hours
● Strong communication skills, able to interact confidently with diverse stakeholders
● Fluent Dutch and English
● High degree of integrity and trustworthiness, especially when handling private or sensitive matters
