About the Role
To join our exceptional administration and events team, you will need incredible communication skills and be remarkably organized. You will need the ability to juggle priorities with a smile while being passionate about good customer service.
As an Administration & Events Assistant, you will be one of two positions supporting daily mountain operations, customer experience and on-mountain events. While office based, this is a fast-paced varied role that requires strong communication, organisation and the ability to remain calm under pressure.
This seasonal role will start mid-May. You’ll work closely with the Admin team including (Head of Department, Team Leader, Admin Assistant, Mountain Hosts and Custodians) to ensure smooth and efficient operations across the ski area.
Key Responsibilities
Administration & Operations
• Manage incoming phone calls and guest enquiries
• Take responsibility of shared admin inbox/emails while making sure Trello board is current
• Always monitor and respond to two-way radio communications
• Update snow reports, chain calls and mountain conditions via NZSki platforms and radio
• Maintain daily ski area records and conditions reports
• Provide administrative support to management and other departments
• Process lift tickets for returning staff, events and media personnel
• Process staff concession requests and letters of introduction
• Collate and process invoices and purchase orders via Continia
• Track demo days and complete monthly invoicing
• Produce weekly staff newsletters
• Liaise key messages between staff, HODs and Management
• Make clear PA announcements regarding weather, lift holds and operational updates
Events & Engagement
• Help create and distribute run sheets, support delivery of internal and external on-mountain events
• Help with event set-up and pack-down
• Assist with organising and delivering staff events, functions and inter-mountain sports between Remarks & Coronet (including evenings as required)
• Coordinate staff incentives and reward systems
Uniform
• Coordinate RFID tagging, distribution, in season uniform swaps, returns and end-of-season stocktake of 300+ staff uniforms
• Take responsibly of all uniform stock. Keep uniform cupboard clean, organised and tidy at all times
Health & Safety
• Prioritise Health & Safety compliance at all times
• Maintain accurate records and ensure contractor sign-in/out
• Scribe and follow communications during emergency situations and scenarios
• Reunite lost children with parents following established procedures
General Operational Support
• Assist operational teams as required (queue control, snow shovelling, F&B table clearing, support our Custodians in recycling and rubbish sorting, bathroom cleaning etc)
• Maintain a proactive, helpful and “can-do” approach at all times
About You
• Passionate about the snowsports industry and ski field operations
• Strong administrative background with excellent keyboard and computer skills
• Events experience is advantageous
• Confident communicator with professional phone manner
• Highly organised with the ability to prioritise and multitask
• Calm under pressure with sound decision-making ability
• Experienced using Microsoft Office and Google systems
• Comfortable working autonomously and within a team
• Strong frontline customer service skills
• Able to quickly build rapport with guests and staff
• Adaptable and able to absorb large amounts of information
• Positive daily attitude and demeanour is a must, engages in a collaborative spirited office environment and can bring a sense of humour to our close-knit team while remaining professional
• Willing to support other departments and take on additional duties as required
• An understanding that employment is subject to the vagaries of the weather and the hours of work cannot be guaranteed
