Carlsbad Headquarters, United States
$65,000 - $85,000 USD yearly

The Gemological Institute of America is seeking an Admissions Advisor for a full-time, onsite role at its Carlsbad headquarters in California. This position focuses on guiding prospective students through the admissions process, sharing information about programs, admissions requirements, financial aid options, and potential career paths. It’s a hands-on role built for someone who enjoys helping people explore education opportunities and building meaningful relationships across departments.

GIA is a global organization with its headquarters in Carlsbad. The campus sits on 17 acres with ocean views and accommodates about 800 of the organization’s 3,400 employees worldwide. The employer offers a host of health and commuter benefits aimed at supporting both staff well-being and the environment, which reflects a thoughtful, campus-friendly workplace culture.

The Admissions Advisor role is well suited to someone with experience in admissions, recruitment, customer service, or similar advisory work who can manage a high-volume stream of interactions while keeping careful, accurate records and upholding institutional policies.

Day-to-Day Responsibilities for the Admissions Advisor Role

As a primary point of contact for prospective students, the role involves engaging applicants through multiple channels, phone, email, text, virtual meetings, and in-person conversations, to share information about programs, admissions requirements, financial aid resources, and career possibilities. The goal is to help students identify educational options that align with their goals and circumstances, building trust through steady, personalized support.

The position requires timely responsiveness to inquiries and proactive outreach to maintain momentum through the admissions process. It also means guiding applicants through the steps to apply and enroll, including deadlines and required documentation, and promptly addressing routine gaps in materials or information.

Day-to-day duties include monitoring progress in the applicant pipeline, keeping CRM and student information records up to date, and coordinating follow-ups to move candidates from inquiry to application, acceptance, and enrollment. The role also encompasses representing the institution at recruitment events, campus tours, open houses, high school visits, and community or trade events, while documenting leads and following up after each engagement.

Collaboration is a steady theme: the advisor works with Financial Aid, Student Services, Academic Departments, and other stakeholders to support student success, stays current on admissions policies and applicable regulations, and protects confidential information through compliant practices.

What Makes a Great Admissions Advisor for GIA

The must-have capabilities include strong relationship-building and student-centered communication, with the ability to explain admissions requirements and educational pathways clearly. Excellent verbal, written, virtual, and presentation skills are essential, along with solid problem-solving abilities and a knack for organizing time in a busy environment. A successful candidate can manage a high-volume pipeline with accuracy, collaborates well across departments, maintains a high level of accountability and professionalism, and demonstrates attention to detail. Proficiency with Microsoft Office and general technology platforms is expected, as is the ability to quickly learn CRM, student information systems, and virtual meeting tools. Adaptability and a commitment to keeping student information confidential are also important.

Nice-to-haves include experience in higher education, vocational education, or student enrollment settings, familiarity with CRM and student information systems, and an Associate’s or Bachelor’s degree in Education, Business, Communications, or a related field.

Minimum qualifications include a high school diploma or equivalent and at least three years of experience in admissions, recruitment, customer service, consultative sales, advising, or a related field. Demonstrated success managing frequent interactions while maintaining accurate records and timely follow-up is valued, as is proficiency with Microsoft Office and the ability to learn new technology systems. Additional requirements include the ability to work occasional evenings and weekends, local travel for school visits and recruitment events, and the ability to maintain confidentiality; successful completion of required background screening, if applicable.

The position is based onsite at the Carlsbad corporate headquarters, with an on-site cafe offering affordable breakfast and lunch options and Starbucks beverages, plus electric vehicle charging stations and on-site ergonomic assessments.

Work may require occasional evenings and weekends to support recruitment and enrollment activities, and some local travel to school visits, community outreach, and recruitment events may be necessary. Smart Tips for Your Admissions Advisor Application

Put your experience managing a high-volume pipeline and your CRM proficiency at the top of your resume so the screening team sees how you handle frequent student interactions and keep records accurate from the start.

Show concrete examples of guiding students through the admissions process, including deadlines and required documentation, and explain how you tracked progress in a CRM or student information system to move candidates forward smoothly.

Be ready to discuss cross-department collaboration, especially with Financial Aid, Student Services, and Academic Departments, and share outcomes that demonstrate how your coordination supported student success.

Prepare a thoughtful question for the interview about recruitment events and enrollment metrics, for example how campus tours, information sessions, and high school visits contribute to meeting current enrollment goals and how success is measured for those activities. This helps demonstrate you understand the role’s impact on the institution’s objectives.
