Clinical Administrator
Hato Hone St JohnHato Hone St John, a long-standing pillar of New Zealand’s health system, is looking for a Clinical Administrator to join its Christchurch team. The organisation has been serving New Zealanders since 1885 and now employs about 12,000 kaimahi across Aotearoa to improve health and wellbeing. From answering 111 calls to supporting people with health education, access and monitoring, they aim to make a meaningful difference every day. This full-time, on-site role sits in Christchurch and is ideal for someone who enjoys busy administrative work and wants to support ambulance education through strong coordination and careful record-keeping.
In this position, the administrator will help coordinate the national delivery of ambulance education programmes. That means overseeing programme planning, learner support and education compliance so the delivery team can operate smoothly. You’ll be a key point of contact for learners, managing schedules, resources and logistics, and you’ll collaborate with the Clinical Education Delivery team and other stakeholders to keep communications clear and learners satisfied.
People who like structure, attention to detail and a supportive approach will feel at home here. It helps if you’re comfortable working with a range of people, can juggle multiple tasks without dropping the ball, and you keep sensitive information confidential with a professional mindset.
Steady hands behind the scenes of education delivery
Day to day, the role focuses on the end-to-end administration of clinical education programmes. You’ll coordinate schedules, gather and allocate resources, and manage communications with learners, including assessments and logistical needs. You’ll also arrange travel and venues for education programmes and support the Clinical Practice team with related arrangements. Maintaining accurate learner records across key systems and ensuring data integrity and policy compliance with NZQA and the Tertiary Education Commission is a core part of the job. The role also includes keeping a solid working knowledge of essential administrative systems like MySitrep, Medius Flow, Tandem, Microsoft Office, SELMA and PayGlobal, and working with a wide range of internal and external stakeholders to ensure consistent education delivery and a positive learner experience. When opportunities arise, you’ll look for ways to improve processes and help implement new systems and smarter workflows.
Your foundation for success
Key requirements you’ll want to meet include:
- NCEA Level 2 or an equivalent qualification
- A track record in administration with comfort using standard admin tools and processes
- Solid to advanced skills in Microsoft Office, especially Word, Excel, PowerPoint, Outlook and Teams
- Strong written and spoken communication, able to explain complex topics clearly
- Good time management and organisational skills, capable of handling multiple priorities and meeting deadlines under pressure
- Ability to work independently and as part of a team, with careful attention to detail
- High standard of customer focus and professionalism, with discretion for confidential information
- Positive, adaptable approach and the initiative to solve problems and support improvements
- A relevant professional qualification in business administration or a related field would be a bonus
- A proactive mindset and willingness to embrace changes in processes or systems
- Experience in environments where learner or student support is a priority
On-site role specifics and what it means to work here
This is a permanent, full-time position based in Christchurch, working 40 hours per week from Monday to Friday. The role is on-site, with no remote work arrangement noted in the particulars. The job focuses on administrative excellence within the Clinical Practice team and education delivery, with a clear expectation to uphold data integrity, compliance and strong stakeholder relationships.
Tips to help you stand out for this role
First, feature your most relevant experience up top on your resume. Lead with admin roles where you coordinated education, programmes or learner support, and name any systems you’ve used that match this job, MySitrep, Medius Flow, Tandem, SELMA, PayGlobal, plus your MS Office skills. If you’ve handled compliance tasks with NZQA or TEC requirements, give that prominence and share a quick result or outcome.
To prove the must-have skills, back up statements with concrete examples. Describe a time you balanced several priorities while keeping accurate records, and mention how you protected confidential information and provided a high level of service to learners or customers. If you’ve worked with learners or education teams before, share a short scenario where you improved a process or reduced a bottleneck.
In interviews, expect to walk through how you coordinate programmes from start to finish, scheduling, resource allocation, learner communications and assessments. Be ready to discuss a situation where you identified a gap in a process and what steps you took to implement a better approach, including any system changes.
Smart question to ask: what current administrative improvements is the Clinical Education Delivery team focusing on, and how would this role contribute to those initiatives in the next six to twelve months?
