Summary

The Bobby R. Alford Department of Otolaryngology - Head and Neck Surgery is in search of a Coordinator, Patient Support Services to join our busy clinical practice.

 

As a Coordinator, Patient Support Services, you will positively contribute to our patients' experience by providing compassionate care and being a reliable member of the team.

 

We are seeking candidates who have an interest in working in an outpatient facility with surgical patients and the desire to work closely with surgeons and learners in an academic setting. 

Job Duties

  • Coordinates scheduling for facial plastic and reconstructive procedures, including cosmetic and medically necessary surgeries.
  • Guides patients through the surgical journey by communicating detailed pre-operative instructions, medical clearance requirements, and post-operative expectations.
  • Addresses financial aspects of procedures, including insurance coverage, self-pay estimates, and payment coordination for cosmetic services.
  • Compiles, verifies, and maintains comprehensive patient records, including clinical documentation, photography, and insurance information.
  • Coordinates procurement of specialized surgical supplies, implants, tissues, and grafting materials required for facial procedures.
  • Manages insurance pre-authorizations for reconstructive surgeries and assist patients with coverage-related inquiries.
  • Provides direct administrative and scheduling support to facial plastic surgeons and Otolaryngology faculty.
  • Serves as primary surgery scheduler, optimizing operating room utilization and aligning surgeon, facility, and patient availability.
  • Acts as a key point of contact for patients via phone and Face line, delivering high-touch service and timely resolution of inquiries.
  • Collaborates closely with clinical staff to ensure seamless care across pre-operative, intraoperative, and post-operative phases.
  • Coordinates surgical calendars with internal departments and external facilities to support efficient workflow and premium patient experience.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High school diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • A relevant degree may be considered in lieu of experience.
  • Prior customer service experience.
  • Surgery scheduling experience.
