Day in the Life

The Office Manager is responsible for overseeing office administration and providing financial and operational support to the business. This position leads the administrative team and works closely with Operations, Project Management, Finance, and Payroll to support contract administration, project setup, invoicing, accounts receivable, and month-end processes.

Responsibilities

  • Lead and support office administrative staff, including scheduling, coaching, and performance management.
  • Coordinate contract administration activities and maintain contract documentation.
  • Manage customer invoicing, accounts receivable, and payment processing.
  • Oversee project setup and maintenance within company systems.
  • Support financial processes, including reconciliations, deposits, reporting, and month-end activities.
  • Provide administrative support to operational teams and assist with continuous improvement initiatives.
  • Perform other duties as required.

Qualifications:

  • Post-secondary education in Business Administration, Office Administration, Accounting, or a related field.
  • Minimum 5 years of experience in office administration, accounting, project administration, or a related role.
  • Previous leadership or supervisory experience.
  • Experience within construction, paving, aggregates, or a project-based environment is preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft Office applications; experience with JD Edwards, HeavyBid, or HeavyJob is considered an asset.
