Sales Operations: 

 

With responsibility for working on specific accounts, Sales Operations are involved in supporting the entire sales process from new title sell-in preparation to sales performance analysis.  This means working closely with internal and external stakeholders, helping to ensure that orders reach customers at the right place, the right price and at the right time.   

 

You’ll work across both the Children’s and Adult lists in this role; that means everything from Roald Dahl, Diary of a Wimpy Kid and Peppa Pig through to Jamie Oliver, Richard Osman and Lee Child, playing a key part in getting our books into our customers’ hands.  

 

The Opportunity: 

 

An important part of your role will be to manage orders from our key customers, and you’ll help by checking data such as stock availability and delivery dates, and working with colleagues in different departments, particularly Inventory Management and Customer Services, to help deliver the best possible service to our customers. 

 

Along with managing orders and liaising with our Credit Services team regarding customer returns and claims, you will use Anaplan (our internal system) to record marketing spend and our purchasing system to raise Purchase Orders.  You will also help provide customers with new title information on spreadsheets or presentation slides and produce sales figures on internal or customer specific systems.  

  

Key responsibilities: 

  

  • Arranging the processing of orders by checking data such as stock availability and delivery dates, liaising with Inventory Management, Key Account Managers and Customer Services; helping to deliver the best possible service to our retailers.   
  • Logging and tracking orders; investigating issues where possible and working with colleagues to find resolutions.
  • Raising and managing marketing spend purchase orders through a dedicated P2P portal and logging details in ‘Anaplan’ to ensure timely payment, and to enable spend to be tracked correctly for budgeting.
  • Providing customers with new title information and marketing material by producing spreadsheets such as ‘new line forms’ and providing jacket images from our Biblio system.
  • Organising the authorisation and processing of retro credits, as well as manual returns, and liaising with our Credit Services teams to manage customer claims.
  • Responding promptly to queries from customers and sales colleagues.
  • Creating Powerpoint slides via the ‘Edelweiss’ system to provide Key Account Managers with presentation material.
  • Producing sales figures using internal and customer specific systems.
  • Covering for and assisting Sales Operations colleagues when necessary, helping to ensure the smooth running of the Sales Operations team. 

 

  

What you’ll bring: 

  

Essential criteria: 

  

  • Good knowledge of Microsoft Office particularly Excel.  
  • Experience of learning new systems/processes and applying them to different tasks.
  • Confident in balancing competing urgent priorities alongside regular and longer-term projects.
  • Able to communicate well, verbally and in writing, in a clear and concise way.
  • Highly organised with good time management skills.
  • Ability to independently forward plan and prioritise workload to meet deadlines.
  • A team player: happy to help and support colleagues where required, contributing to a collaborative environment.
  • Good relationships and effective communication with colleagues and customers. 

 

Preferred criteria: 

  

  • Some experience of working in an administrative role would be an advantage.
