The Administrative Assistant/Scale Operator performs administrative and office support activities, for different departments. Depending on the location/department they are hired for, duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and data entry, and filing. This position also schedules and scales truck onsite for loading emulsion products. 

 

Job Purpose

The Administrative Assistant/Scale Operator performs administrative and office support activities, for different departments. Depending on the location/department they are hired for, duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and data entry, and filing. This position also schedules and scales truck onsite for loading emulsion products.

 

Main Duties and Responsibilites

  • Answer and redirect phone calls 
  • Produce and distribute correspondence memos, letters, faxes, and forms 
  • Assist in the preparation of regularly scheduled reports 
  • Provide information by answering questions and requests 
  • Handle multiple office projects 
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. 
  • Handle sensitive information in a confidential manner 
  • Reply to email, telephone, or face to face inquiries 
  • Resolve administrative problems 
  • Receive, sort, and distribute the mail 
  • Greet and assist visitors to the office 
  • Provide polite and professional communication 
  • Conduct data entry 
  • Organize, store and print company documents as needed 
  • Processing sales tickets 
  • Scaling in/out tankers loading emulsions 
  • Printing shipping tickets through JDE Oracle program or alternative program 
  • Completing customs paperwork 
  • Organize and document incoming cheques; 
  • Responsible for shipping and receiving courier packages; 
  • Maintain a filing system for data on employee, customers, external partners, and facility contact lists 
  • Handle queries from managers and employees 
  • Dealing with US Customs and bill of lading.

 

Required Qualifications

  • Proven admin or assistant experience 
  • Knowledge of office management systems and procedures 
  • Excellent time management skills and ability to multi-task and prioritize work 
  • Attention to detail and problem-solving skills 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills 
  • Proficient in Microsoft Suite 
  • At least 2-4 years of experience in a construction or industrial setting 
  • High school diploma or equivalent
