As a Sourcing & Procurement Specialist, you will be responsible for guiding the planning and procurement of commodities and/or services that have financial impact of the company, while ensuring the best leverage of company dollars. In this role, you will use your knowledge of demand planning techniques, sourcing, and procurement of services and goods while using strong tactical and negotiation skills. 

 

Position Summary: 

In this role, you will assist with all procurement functions related to the purchasing of materials and supplies, while maintaining accurate and detailed records.  Using your strong analytical abilities and problem-solving skills, you will also be responsible for sourcing, initiating, and negotiating material purchases & contracts, spot buys when appropriate, just in time inventory, while keeping excess inventory a minimum. 

 

Overall Responsibilities 

Facility & Site Operations Support 

  • Serve as a primary support function for facility operations, office environments, and site service coordination. 

  • Coordinate vendors related to facility services, supplies, equipment, maintenance support, and site needs. 

  • Support space readiness, office functionality, site standards, and general workplace experience. 

  • Execute purchasing activities for facility, operations, and administrative needs including sourcing, purchase orders, delivery tracking, and invoice reconciliation. 

  • Support budget adherence, cost tracking, and variance reporting tied to site spend. 

  • Leverage supplier relationships, volume consolidation, and standardized part usage to control costs. 

  • Support vendor negotiations and contract coordination with Procurement and Legal. 

  • Maintain accurate documentation, vendor records, contracts, invoices, and procurement files. 

  • Provide structured administrative support including reporting, audit readiness, KPI tracking, and document management. 

  • Support month-end reconciliation and purchasing compliance activities. 

  • Act as a highly reliable execution partner to leadership teams. 

  • Support PR placement activities, including coordination for site tours, leadership visits, client engagements, community partnerships, and internal showcases. 

  • Assist with site presentation, professional standards, and experience planning for visitors and stakeholders. 

  • Coordinate logistics, materials, and vendor needs tied to external or internal engagements. 

  •  Lead coordination for site events, leadership meetings, launches, off-sites, and employee engagement activities. 

  • Support event planning including vendor sourcing, purchasing, scheduling, logistics, and administrative execution. 

 

Minimum Qualifications / Skills /Requirements: 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.  

  • 3+ years of experience in operations support, facilities, procurement, business operations, or administrative coordination 

  • Experience supporting purchasing, vendor coordination, and budget tracking 

  • Proficiency with Microsoft Office (Excel, Outlook, PowerPoint, Word) 

  • Experience working in a fast-paced operational environment 

 

Preferred Qualifications / Skills:  

  • Supply chain, warehouse, or facility operations experience 

  • ERP experience (SAP or similar systems) 

  • Event coordination or site engagement experience 

  • Strong analytical, organizational, and problem-solving skills
