Summary – The Executive Coordinator serves as a trusted partner and force multiplier for the President & CEO, ensuring priorities, communications, and strategic initiatives move forward effectively across the organization. This role goes beyond traditional executive support and operates as an extension of the CEO office, helping drive execution, alignment, and accountability at the leadership level. The ideal candidate is highly organized, proactive, business-minded, and able to anticipate needs before they arise.

Responsibilities –

  • Serve as a trusted partner to the President & CEO, helping manage priorities, workflows, and critical business initiatives.
  • Act as an extension of the CEO office, ensuring alignment and follow-through across strategic objectives.
  • Anticipate challenges, identify opportunities, and proactively recommend solutions.
  • Help drive organizational accountability by monitoring key initiatives, deliverables, and leadership commitments.
  • Manage and optimize the CEO calendar, ensuring time is aligned with business priorities and strategic goals.
  • Prioritize communications, requests, and competing demands to maximize executive effectiveness.
  • Coordinate domestic and international travel, itineraries, logistics, and expense management.
  • Handle highly confidential information with exceptional discretion and judgment.
  • Partner closely with the executive leadership team to coordinate meetings, planning sessions, off-sites, and business reviews.
  • Prepare agendas, briefing materials, executive summaries, and executive-level presentations.
  • Capture key decisions, action items, and commitments during leadership meetings.
  • Drive follow-up activities and stakeholder accountability for deliverables and deadlines.
  • Create polished presentations for board meetings, customer engagements, leadership reviews, and strategic initiatives.
  • Develop executive communications, talking points, speeches, and key messaging.
  • Collaborate with communications teams on executive branding initiatives, LinkedIn content, employee communications, and organizational messaging.
  • Coordinate cross-functional projects and strategic initiatives on behalf of the CEO.
  • Track milestones, risks, dependencies, and progress updates.
  • Facilitate communication among stakeholders to ensure successful execution of business objectives.
  • Support high-priority business projects and special assignments as needed.
  • Process expense reports, invoices, and related administrative documentation accurately and timely.

Qualifications –

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • 5+ years supporting senior executives, leadership teams, or complex business operations.
  • Demonstrated experience working with executive-level stakeholders and managing confidential information.
  • Strong business acumen with the ability to understand organizational priorities and translate them into action.
  • Advanced proficiency in Microsoft 365, including PowerPoint, Excel, Word, Outlook, and Teams.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Outstanding organizational, project management, and prioritization abilities.
  • Ability to work independently, think strategically, and execute with attention to detail.
  • High level of professionalism, executive presence, and sound judgment.

Physical Demands –  Employees in this position are regularly required to walk, stand and use hands to finger, handle or feel. They are frequently required to reach with hands and arms. They are often required to sit, stoop, kneel, crouch, or crawl. Employees are required to talk and hear in an industrial setting and regularly required to lift 10 pounds and occasionally required to lift up to 50 pounds.
