Foodstuffs’ Foodies team in Mangere is looking for a capable Team Coordinator to join its Retail unit. This full-time, fixed-term role runs until December 2027 and offers an immediate start with a hybrid work setup that blends office time with home days as needed. The successful candidate will provide high-quality administrative and coordination support to the Chief Retail Officer’s Executive Assistant and the Retail Leadership Team, helping priorities stay on track and stakeholders feel supported.

As a trusted delegate when the Executive Assistant is away, you’ll help maintain business continuity and ensure day-to-day activities keep moving. Foodies, the local arm behind New World, PAK’nSAVE and Four Square, operates 300+ stores across Te Ika-a-Māui with more than 27,000 Foodies and emphasises community focus and people-first values.

In short, this is a role for someone who enjoys keeping systems, schedules and communications humming, and who thrives in a collaborative, yet autonomous, office environment.

Keeping the Retail engine humming

On a typical day you’ll coordinate reports, presentations and board papers, while also managing meetings, calendars and team events. You’ll keep essential records and administrative systems accurate and assist with team communications and stakeholder engagement. You’ll prioritise actions, follow up proactively and help the Retail function and Leadership Team move work forward, stepping in to fill gaps as needed. The role is primarily office-based, with week-to-week flexibility to work from home depending on business needs.

The work centre around shoring up the operations of the Retail team and ensuring that the small but mighty tasks don’t fall through the cracks. You’ll be trusted to keep things moving, even when you’re balancing competing priorities, and you’ll play a key part in making sure the CRO’s office runs smoothly in their absence.

What you’ll bring to the role

  • Experience in a Team Coordinator, Executive Assistant, Personal Assistant or senior administration role that demonstrates you can handle broad responsibilities
  • Strong written and spoken communication skills that help you convey information clearly
  • Excellent organisational and prioritisation capabilities that let you manage multiple tasks at once
  • Meticulous attention to detail and accuracy in all you produce
  • Ability to work independently and manage competing priorities without constant direction
  • Proactive mindset with a willingness to own tasks and see them through to completion
  • Confidence engaging with senior leaders and stakeholders
  • Advanced skills in Microsoft Office, especially Outlook, Excel, PowerPoint and Word
  • A friendly, approachable, can-do attitude that fits Foodies’ team culture
  • Reliability and professionalism paired with a track record of delivering high-quality work on time

Nice-to-haves are not listed beyond these requirements, but the role emphasises proactive, autonomous administration and strong collaboration with leadership teams.

The position is based in Mangere, New Zealand, and is a fixed-term appointment until December 2027 with an immediate start. Benefits include free car parking with EV charging options, access to an onsite café with subsidised meals and a mini mart, a 5% discount at retail stores, flexible working options, a birthday day off, long service leave, learning and development opportunities, annual flu vaccinations and Tribes employee communities. Advice for applicants

Lead with a resume summary that mirrors the must-have skills, starting with your experience in a Team Coordinator, Executive Assistant, Personal Assistant or senior administration role and highlighting your ability to support senior leaders and manage a busy workload.

Show evidence of the must-have capabilities by detailing how you’ve handled coordinating reports and board papers, kept calendars aligned, and maintained accurate records. Include concrete examples of advanced MS Office use, especially Outlook, Excel, PowerPoint and Word, and describe situations where you managed competing priorities with a proactive, ownership-driven approach.

Be prepared to talk through how you operate autonomously, how you identify priorities and how you keep work moving even when guiding other stakeholders. You’ll want to illustrate your experience with stakeholder engagement and your comfort level working with senior leaders in a large retail environment.

When you’re in an interview, ask about how the role supports the Chief Retail Officer’s Executive Assistant on a day-to-day basis, what success looks like in the first 90 days, and which admin systems and processes are in place to maintain records and business continuity when the EA is away.
